Job summary

on a rota basis. Working hours are dependent on the needs of the business.Ash Tree House is looking for a Receptionist to join our already established friendly team. The post is 20 hours per week to be worked flexibly over 3 days between the hours of 7.30am - 18.30pm Monday -Friday on a rota basis. Working hours are dependent on the needs of the business.

Extra hours will be required as and when to cover annual leave and sickness. Flexibility is a must for this post.

Main duties of the job

This is an essential fast paced role, helping to provide a welcoming and professional service to patients, staff and visitors to the practice. Therefore its important that you should be a quick thinker, be able to multi task and remain calm under pressure.

The ideal candidate must be self-motivated, enthusiastic and have excellent customer service and computer skills. This is a varied role dealing with reception duties, prescriptions and administrative tasks. The candidate must be able to be empathetic towards patients, a problem solver and be able to use their own initiative.

You should be able to work as part of a team but also be able to work on your own. Experience is not essential for this role and training will be provided.

Ash Tree House Surgery in Kirkham is a progressive Training Practice housed in a beautiful listed building, Ash Tree House provides a full range of primary care services to a population of nearly 11,432 patients. We are committed to giving our patients the highest quality service by maintaining a mutual confidence between Doctor and Patient. There are 5 GP Principals working closely with a dedicated Practice team which includes Nurses, a Pharmacist Practitioner, Counsellors and support staff. The Practice is also supported by Community staff including a Community Matron, District Nurses and Health Visitors and a resident Physiotherapist.

ACCOUNTABLE TO: Practice Manager

General Duties

As a Receptionist you will be required to:

  • ensure that all queries from patients are handled efficiently and courteously
  • keep surgery premises tidy and safe at all times
  • maintain patient confidentiality at all times

Principle Duties

1. Meet and greet patients, providing a friendly and helpful welcome.

2. Make new and follow-up appointments for patients via the telephone or in person at the Reception Desk.

3. Receive telephone calls and deal with enquiries/messages and/or direct them to the appropriate person.

4. Receive and record all requests for home visits, repeat prescriptions, including on-line requests etc.

5. Manage repeat prescriptions and ensure that these are signed and checked by the doctor before handing to patients.

6. Provide administrative support to clinical staff and other members of the team, such as scanning and data input.

7. Opening and closing the premises including checking heating and ventilation at the start and end of the surgery day.

8. Provide support and guidance to new staff during their induction.

9. Attend and participate in Practice and Reception Team meetings, as required.

Overall Responsibility

  • Undertake any other appropriate duties or responsibilities as directed by the Managment team or Partners
  • To ensure effective communication with all Clinicians and other Practice and Community staff based at the Practice
  • Be aware of and adhere to Practice policies in relation to Health and Safety at Work and Fire Precautions
  • To attend appropriate training courses

Where necessary relevant training in the operation of new or unfamiliar equipment, software or procedures will be provided or arranged.
