Job summary

Manor Road Surgery is expanding its team of Medical Secretaries. We are a friendly GP Practice in the town of Beverley. The post is fulltime or flexible start and finish time.

The team consists of 4 part time members. One member is retiring and extra hours are needed, and the new recruit will work with all remaining 3 members of the team.

Main duties of the job

Job responsibilities:

  • Process e-referrals including but not limited to, 2 Week Wait, Imaging, Secondary Care and Community, using SystmOne
  • Process Expedite requests using SystmOne
  • Process private referrals using Spire Connect
  • Process Individual Funding Requests using the IFR or VBC database
  • Process Advice & Guidance requests using SystmOne or email, as appropriate
  • Respond to / action various emails
  • Process 8 day removals
  • Typing of the weekly Practice Minutes
  • Undertake research on behalf of GPs to obtain information they have requested, e.g. finding out how to refer to a new clinic, if a patient can be seen on the NHS outside of the East Riding, or any other query they may have
  • To assist the Practice Manager with all clerical and administrative duties, including but not limited to, scanning, responding to complaints, requesting job references
  • Process outgoing mail on a daily basis
  • Action responses on eRS worklist including referrals and advice and guidance
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • Complete 12 hours compulsory Blue Stream online training annually
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.

The practice has a high number of staff with over 10 years service and 3 staff achieved 20 years service awards last year, we pride ourselves on being a good employer with staff staying in post.

This post is replacing a retirement and providing extra hours in the medical secretaries team.

To provide an efficient secretarial service for GPs and health professionals as required. This includes processing patient referrals, Advice & Guidance and reports, in an accurate and quality manner.

Job responsibilities:

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice Health & Safety policy, the practice Health & Safety manual, and the practice Infection Control policy and published procedures. This will include:

  • Using personal security systems within the workplace according to practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
  • Undertaking periodic infection control training (minimum annually)

  • GCSE or equivalent grade A to C (9 to 5) in English and Maths
  • RSA Typing or equivalent experience

  • Previous medical secretary experience in general practice
