Job summary

The post of Reception Lead is a shared role with some shared and individual responsibilities and is split over 5 days, we are currently recruiting for 2 days per week, Tuesday and Wednesday.

Along with the shared element of the role the post holder will have defined areas of responsibility.

Main duties of the job

  • On the floor leadership, supporting the team as they work, live trouble shooting, liaising with the clinical and management teams as required.
  • Reception team rota, co-ordinating leave requests.
  • Checking Service provision and making amendments as required
  • Developing reception processes and strategy
  • Develop the practice internet as a tool for reception
  • Be aware of digital innovation and transformation and drive the planning and prioritising of changes.

Reports to Practice Manager

A principal member of staff, the role leads our largest staff sub-team, and represents us at the crucial interface between the community and our practice.

The reception lead understands and shares the practice's purpose, vision and values, and applies those principles confidently to their work. They are an expert communicator, and act as a positive role model for their busy and pressurised sub-team.

They have a strong community focus but they advocate for their sub-team and for the practice team as well as for patients. They recognise that all of the practice sub-teams work together towards the same purpose, and actively promote this "One Team" philosophy. The incumbent recognises quickly when pressure escalates on the shop floor and is able to calmly coordinate the reception sub-team's response to support their needs and the needs of the other shop floor staff.

They continuously monitor activity and conditions in the waiting room, making sure that waiting patients are kept up to date, and intervening to pre-empt untoward developments.

Qualifications

Essential

  • At least 6 GCSEs including GCSE Maths and English at the equivalent of grade 4 or above.
  • High degree of IT literacy.
  • Experience of Microsoft Office software.

Desirable

  • Evidence of further qualifications at level 3 or above for example A levels
  • Business Qualification.
  • Recognised qualifications in Office software.

Experience

Essential

  • Previous experience of leading a team.
  • Demonstrated experience of effecting change.
  • Demonstrated experience of using and reporting using information systems.

Desirable

  • Previous experience working in Primary Care or Secondary Care setting.
  • Previous experience of SystmOne clinical system.

  • Strong interest in new technology and systems.
  • Confident.
  • Quick to learn.
  • Good organisation and time management skills.
