Job summary

Danescourt & Greenmount Surgery is looking to recruit a friendly, organised and reliable Receptionist to join our busy GP practice team.

This is a key front-facing role within the practice. The successful candidate will be the first point of contact for patients and visitors, providing a professional, welcoming and efficient reception service while supporting the clinical and administrative teams.

We are currently flexible regarding full-time or part-time hours and are primarily looking for the right person who will fit well within our team and provide excellent patient care.

Main duties of the job

Reception Duties

  • Greet patients and visitors in a courteous and professional manner

  • Book, amend and cancel patient appointments using the practice clinical system

  • Direct patients to the appropriate clinician or service

  • Answer incoming calls promptly and deal with enquiries efficiently

  • Signpost patients to the appropriate service where necessary

  • Take accurate messages and pass them to relevant team members

  • Maintain accurate patient records

  • Scan and file clinical correspondence and documents

  • Process incoming and outgoing post

  • Work collaboratively with colleagues to maintain smooth day-to-day running of the practice

  • Participate in training and team meetings when required

  • Follow all practice policies, procedures, and NHS guidance

Job Purpose

To provide an efficient, professional and friendly reception and administrative service to patients and visitors at Danescourt & Greenmount Surgery.

The post holder will act as the first point of contact for patients, supporting the smooth running of the practice by managing appointments, handling enquiries and carrying out administrative duties while ensuring a high standard of patient care and confidentiality.

Key ResponsibilitiesReception Duties
  • Welcome patients and visitors to the practice in a polite and professional manner.

  • Book, amend and cancel patient appointments in accordance with practice procedures.

  • Ensure patients are directed to the appropriate healthcare professional or service.

  • Register new patients and update patient information on the clinical system.

  • Ensure the reception area remains tidy and welcoming at all times.

Telephone and Patient Enquiries
  • Answer incoming telephone calls promptly and deal with patient enquiries efficiently.

  • Signpost patients to the most appropriate service where necessary.

  • Take and pass on clear and accurate messages to clinical staff and colleagues.

  • Deal with general patient enquiries both in person and over the telephone.

Administrative Duties
  • Maintain accurate patient records and ensure information is updated appropriately.

  • Process incoming and outgoing post.

  • Support the clinical and administrative teams with general administrative tasks when required.

Confidentiality and Information Governance
