Job summary

We are looking for a highly motivated experienced receptionist/administrator to join our Team at Concord Medical Practice. Our Practice is a medium size with 5200 patients and a small team of 3 x GPs, 2 x Practice Nurses, a Health Care assistant and reception team. Due to staff changes in roles an opportunity has arisen for an ambitious and motivated receptionist to join the team who can deliver excellent patient care through exceptional communication skills. Previous experience in Primary care in the NHS is essential.

Main duties of the job

Exceptional communication skills, face to face and over the telephone. Comprehensive IT skills who can be focussed on the detail Knowledge of Emis is essential Ability to adapt to change, patients needs and NHS and Practice expectations

We are 2 GP Partner Practice, with 2 Practice Nurses, a Health care assistant and a strong team of receptionists and administrators.

Job description

Job responsibilities

  • To be responsible for undertaking a wide range of administrative duties which include registering patients, booking appointments, ensuring all information is managed correctly, filed and followed up accordingly.
  • To act as the focal point of contact and be responsible for the dissemination of information, messages and enquiries for the medical team, liaising with multidisciplinary team members, other health professionals and staff within the practice
  • Ensure that all patients and visitors at reception and telephone callers to the practice are greeted professionally and politely.
  • Answer all incoming phone calls from patients and other healthcare professionals. Divert them as appropriate, and/or take and pass on messages.
  • Deal with administrative queries and requests from patients and act as liaison with the clinicians as necessary.
  • Make/cancel/rearrange appointments via the clinical system. e)Support and assist clinicians as required.
  • Arrange interpreters as necessary.
  • Ensure up to date patient information is recorded.
  • Give test results where appropriate.
  • Daily preparations of clinical rooms at the beginning and end of the day.
  • Keeping tidy the workspace and waiting area.
  • Ensure that repeat prescriptions are done accurately and efficiently following protocol.
  • Monitor incoming electronic test results to ensure prompt review by clinicians.
  • Data entry of new and temporary registrations and relevant patient information e.g. smoking status, BP, ethnicity, medication from hospital letters,
  • Scan patient information in computerised records i.e. medical documents, hospital reports and letters as necessary.
  • Retrieve paper notes from storage unit as requested.
  • Photocopy documents as required
  • Action tasks set by clinicians via the clinical system or email.
  • Reviewing medical records of new patients, inputting and summarising medical history.
  • Registering patients.
  • Read coding medical data into clinical system and computerised medical record of patient.
  • Maintain the appointment system and set up templates in order to do so.
  • Take part in practice performance related to recalls for patients. This will include maintaining an up to date register and working on improvement.
  • Be involved generally in the maintaining and encouraging of adequate security measures e.g. locking doors, computers and removing SMART cards.
  • Maintain the Health and Safety of all staff, patients and visitors.
  • Ensure confidentiality at all times, only releasing confidential information obtained during the course of employment to those acting in an official capacity with the agreement of the Practice Manager.
  • Comply and familiarise yourself with the Practices policies and procedures.
  • Carry out any other duties as reasonably requested by the Doctors, Practice Manager or Reception Supervisor.

The responsibilities may be amended, after discussion with the post holder, to take into account the development of both the post and the practice. All members of staff should be prepared to take on additional duties or relinquish existing duties in order to maintain the effective running of the practice. On-going training is a requirement of the practice and all staff is required, as a minimum, to complete statutory mandatory training either in person or on-line. Regular training events are held externally which staff, on occasions, will be required to attend.
