Job summary

We are looking for someone with previous GP Surgery experience, excellent IT skills, and be able to work effectively under pressure. You should be flexible (MUST be able to cover sickness and holidays), possess strong team values, be able to work in a fast paced environment while providing a high quality customer service and enjoy working with the public. A commitment to further training and development and exceptional communication skills are also essential. We achieve high QOF scores and use EMIS Web.

Main duties of the job

  • As a medical receptionist, you are the fundamental base of the practice, and so the ideal candidate would have previous GP practice or similar to experience along with:

    • Knowledge of EMIS Web
    • Front desk reception duties
    • Registrations
    • Excellent IT skills
    • Confident and compassionate
    • Familiar with electronic prescribing requests
    • Superb communication skills
    • Positive attitude
    • Ability to multi task

  • City Square Medical Group is a 4 partner, inner city GP surgery in Tower Hamlets, providing safe and effective healthcare to 11,298 local residents. We are a two site practice and have recently gone through a merger in April 2020 and are looking for a Medical Receptionist to join our thriving recently merged friendly practice.

Job responsibilities

Job summary:

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Job responsibilities:

  • Telephone triage all doctors appointment
  • Receiving and opening post. Distribute accordingly.
  • Workflow and coding of letters. Reading of letters to decipher whether to workflow to straight to GP/scan or file.
  • Daily checking of generic email and to action appropriately.
  • Responding to e-consults in a timely manner
  • Call/recall of patients on chronic disease register
  • To use allocated admin time to catch up with admin/tasks
  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Enter requests for home visits into computer, ensuring careful recording of all relevant details and where necessary refer to duty doctor.
  • Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually.
  • Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
  • Enter patient information on to the computer as required.
  • Scanning documents into patients records
  • Patient notes and correspondence:
    • Ensure that all new patients are registered onto the computer system promptly and accurately

o Ensure correspondence, reports, results etc are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.

    • ensure the kitchen is kept clean and tidy and air and tidy the waiting room in turn with other staff.
    • Call/recall of patients on QOF Registers
    • Chasing up clinical letters/results from the hospital
  • Premises:

o Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.

o When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.

  • Undertake any other additional duties appropriate to the post as requested by the Partners or the practice manager.
