Job summary

We are looking for an organised and proactive Administrator to join our team, providing essential administrative support across the Clinical Services Department and the Reception/Admin team. The successful candidate will play a key role in ensuring smooth daily operations, excellent patient service, and efficient communication within the departments.

Main duties of the job

  • Provide administrative support to the Clinical Services Department, including scheduling appointments, managing patient records, and coordinating clinic logistics.
  • Deliver front line reception duties such as greeting patients, answering phone calls, and managing enquiries with professionalism and empathy.
  • Handle patient registrations accurately and efficiently.
  • Maintain and update electronic and paper filing systems in compliance with data protection and confidentiality policies.
  • Assist with the preparation of clinical documentation, correspondence, and reports.
  • Manage appointment bookings, cancellations, and follow-ups to maximise clinic efficiency.
  • Undertake general office duties including stock management and ordering supplies.
  • Support the reception team with daily administrative tasks during busy periods or staff shortages.
  • Collaborate with clinical and administrative teams to ensure effective communication and seamless patient care.
  • Work one Saturday in every eight weeks as part of the rota to support weekend clinic activities.
