Job summary
Northgate
Medical Practice are looking for a Medical Secretary to join our friendly and
experienced team providing secretarial support to the GP's, ANP's, Nursing Team, HCAs
and Reception staff. Previous Medical Secretarial experience is essential, and
previous experience within a GP practice is desirable.
Applicants must be able
to demonstrate excellent I.T. and communication skills with an ability to pay
attention to detail. They must be self-motivated and adaptable to work within a
changing NHS and to thrive with the demand of working in a busy administrative
environment.
Main duties of the job
To provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals etc.
Ensure all referrals are dealt with in a timely manner using the Choose & Book system
Any other tasks deemed necessary to ensure the smooth running of the practice
To have a thorough knowledge of all Practice procedures.
To work in accordance of written protocols

Job responsibilities
Provide
a comprehensive, efficient, audio, copy typing and word processing secretarial
service to GPs and Health Professionals as required. This includes the typing of letters, reports,
patient referrals, minutes etc. in an accurate, timely and quality manner.
To
assist the Management Team with all clerical and administrative duties.
Accurately
transcribe all correspondence by touch typing from audio dictation using
knowledge of medical terminology. Check and
amend documents to ensure work is free from errors.
Process
referral letters following Practice procedures, meeting practice deadlines and
ensuring a high standard of grammar and presentation.
To
receive incoming and initiate outgoing telephone calls in order to facilitate
timely and appropriate communications. Take accurate messages, give information
and advice (not medical) to GPs, patients, relatives and other staff involved
with the patient in a manner responsive to customer needs and in accordance
with practice procedures.
To
establish and maintain filing and administrative systems ensuring that written
or computer information is easily accessible and secure. Filing methods must be
consistent with practice procedures and facilitate easy retrieval.
To
take minutes ensuring they are typed and distributed within two days of the
meeting. These should be saved on the practice global drive.
To
work flexibly providing cover for members of the secretarial team during
periods of sickness and annual leave.
Undertake
any other duties that are considered to be appropriate to the post.
