Job summary

We are looking to recruit a new Receptionist / Practice Admin Team Member.

As a receptionist, you will be the First Point of Contact for our patients in our surgery and therefore you will be providing a vital role for the smooth running of the surgery.

We would like to hear from people who are passionate about delivering patient-customer care to a very high standard, utilising digital technology embedded within the integrated clinical and telephony system and with impeccable manners, attitude, and commitment to serve our patients.

  • We would also Consider an Apprentice for this or similar post (Apprentice rate £5.28 - £6.00 / Hour) Full training given and supported to follow an appropriate NVQ 3/Diploma

Main duties of the job

  • To provide a Receptionist role and also to perform general administrative assistance to the practice team.
  • Project a positive and friendly image to patients and visitors, either face to or via the telephone with a strong customer service focus and problem solving attitude and good Time management skills.
  • Our Telephony system (X-on/Surgery Connect) and Clinical System (Systm One) are integrated.
  • In addition we use other digital tools such as AccuRx, E-Consult and Docman to manage appointments, communication and to promote an integrated patient focussed

The surgery is migrating to a common platform for Appraisals and Performance Monitoring for All GPs, Health Care Team, Reception & Admin Team incorporating bench mark and standards set by the professional bodies (GMC / NMC) and regulators CQC.

About us

  • Toddington Medical Centre (Tod-Med) is situated in the heart of Toddington, Bedfordshire and serves all the neighbouring villages and towns with a list size of over 7500 Patients.
  • We are a teaching practice to the University of Cambridge Medical School - 4th Year Medical Students and support a number of schools with work placements.
  • Toddington Medical Centre is a Partnership of Four General Practitioners (One Male GP, Three Female GPs) supported by a Team consisting of Advanced Nurse Practitioner, Nurses, GP-Assistant, Pharmacy Technician, Health care Assistant (HCA) and Primary care Network-Additional Role Staff (Care Coordinator, Physician Associate, Pharmacist).
  • The Partnership is contracted to the NHS to Provide Primary Care-General medical Services and some services are delivered co-jointly with the Primary care Network (PCN).
  • Toddington Medical Centre is migrating to a high performing practice with an agenda for improving efficiency within the surgery and in the services that we deliver.

  • The Surgery is opened 08:00 - 18:30 Mondays to Fridays. The Job role is delivered as a combination of shifts08:00-13:00;13:00-18:30and08:00 -18:30(10.5 Hours Shift (1 Hour Unpaid Break)
  • Full Time staff are expected to work 40 Hours with a combination of shifts.
  • Ensure Efficiency Of Appointment System And Monitor Flow Of Patients Into Consulting / Treatment Rooms
  • Ensure That Patients Without Appointments But Who Need 'Urgent Consultation' Are Seen In A Logical And Non-Disruptive Manner.
  • Explain Practice Arrangements And Formal Requirements To New Patients And Those Seeking Temporary Cover, Ensure Procedures Are Completed.
  • Advise Patients Of Relevant Charges For Private Services, Accept Payment And Issue Receipts When Requested.
  • Respond To All Queries And Requests For Assistance From Patients And Other Visitors.
  • Record Home Visits Onto Clinical System Including All Relevant Information And Where Necessary Refer To The Duty Doctor.
  • In Conjunction With The Person On Repeat Prescription Duty Ensure That Requests For Prescriptions Are Actioned Where Possible Within One-Two Working Day
  • Action Requests For Ambulance Transportation Record Appropriately
  • Ensure Reception And Waiting Areas Are Kept Neat And Tidy.

Management Of Appointment System

  • Ensure Total Familiarity With Systm One Appointment Systems (Training provided)
  • Book Appointments And Recalls Ensuring Accurate Recording of Information following appropriate safeguards for Patient ID
  • Offer Alternative Pathways for patients when on the day appointment is unavailable (Next available appointment, walk-in centre, PCN-Extended Access and 111 Services)
  • Monitor Effectiveness Of The System And Report Any Problems Or Variations Required.
  • Check and monitor all appointments and Utilise unused appointments by tasking clinicians for Telephone Consultations on the day

Start And End Of Day Procedures

  • Open up the Surgery and reception desk at the start of the day, ensure security procedures are followed and make all necessary preparation to receive patients to enable the GP/Nurse to start on time for their first appointment.
  • To participate in the early morning rota commencing at 8 am during any extended access Contract the practice is signed up to.
  • Final end of day check to secure the building, check windows, lights , electrical devices turned off where appropriate ready to secure the building and set the alarm before leaving the building.
  • To participate in a late evening rota which will usually finish at 6.30 pm (depending on whether or not the GP has completed surgery and the last patient has left the premises).
  • Ensuring the Telephone system switches to Out Of Hours Service during 18:30 - 08:00 am
