Job summary
We are seeking to employ a experienced Full Time motivated Medical Secretary / Administrator with exceptional customer focus to support our developing Admin team.
The successful candidate will utilise their well-developed medical secretary skills to provide excellent service for our patients and administrative skills to support the management team. IT skills are required for daily use of clinical systems (Emis Web, eRs system & Docman).
These permanent posts are for 37.5 hours over 5 days.

Main duties of the job
To provide an efficient and effective Referral service and administrative support service to the surgery teams in accordance with relevant policies and procedures.
To use skills, knowledge and experience to support the administration systems in the practice.
As a Administrator you will be expected to provide a consistent point of contact for both patients and staff, with the aim of enabling patients to get the right co-ordinated support, at the right time to help manage a wide range of needs. This will include active signposting to a range of statutory and voluntary sector services which are often complex and difficult to navigate.

To efficiently undertake administration and Medical Secretary tasks which may include the following duties as directed:
- Sending Referrals to the correct pathway on eRs
- Working with the GP's to provide a high level of service to our patients
- To liaise with the Hospitals and Consultant Secretaries on chasing referrals
- Scanning data onto patients records
- Data input, data extraction, photocopying, faxing, filing and typing duties as directed
- To deal with emails on a day to day basis
- To support the team to maintain accurate, timely and legible records
- To answer/deal with queries, both face to face and via the telephone, take messages
- To maintain strict confidentiality at all times
- Attend and take part in team meetings and regular reviews with line manager etc.
- Provide a full service to a high standard
- To support the control of clinics/appointments, retrieve records, liaising with patients, staff, other health professionals or outside agencies.
- To maintain filing systems in line with Policies and Procedures.
- To co-ordinate and make the necessary arrangements for events run by the surgery

- Minimum of 5 GCSEs or equivalent (this must include A*- D in Maths and English Language or equivalent) and provision of original certificates if appointed.
- Medical Secretary
- EMIS trained
- Previous administrative work experience of liaising with the public on the telephone and face to face Experience of team working
Desirable
- Telephone experience of customer service in a public/health sector environment with knowledge of local area and services.
