Job summary

Provide an efficient and effective Patient Services Department, projecting a positive, friendly and professional image of the Practice to Patients, Carers, Visitors and other contacts, in person on the telephone or online.

Main duties of the job

To act as the first point of contact for Patients, Clinical Team and External Clinicans, via phone, online and in person, ensuring we deliver a high quality efficient Patient Services Department.

OPERATIONAL

Answer incoming calls for all sites signposting patients to the appropriate service/Department by using questioning techniques

Booking routine appointments for patients with the GP/Nursing Team ensuring full information of the concern/treatment required is provided for the clinician and that for the nursing team, the correct Nurse/HCA has been selected and the slot type changed for the correct procedure.

Answer incoming calls for all sites signposting patients to the appropriate service/Department by using questioning techniques

Complete Triage decision call backs to patients ensuring emphasis is on contacting those patients who have been referred for a Same Day Appointment first, using the earliest slot available. For non Same Day Appointment decisions, relaying back the GPs decision as given by the contact method preferred from the patient.at time of Triage.

Open up Surgery following Opening Up Procedures

Close and secure Surgery following Closing Procedures

ADMINISTRATIVE AND OTHER DUTIES

Respond to tasks and Docman Tasks within agreed timeframes

Work at other sites, should the need arise due to illness / holidays or staff shortages. Undertake other duties within your competencies.

Job responsibilities

OPERATIONAL

Answer incoming calls for all sites signposting patients to the appropriate service/Department by using questioning techniques

Referring patients to the Pharmacy First Service if symptoms meet the criteria as laid out

Referring patients to the First Contact Physio and booking the appointment giving full information of the patients concerns/issues.

When rotad add eConsults both medical and administrative to patients record, checking accuracy. Add medical eConsults to the eConsult Triage list and deal with Administrative eConsults. Call back patients on the eConsult Triage list and relay the Triaging GPs decision, ensuring emphasis is on contacting those patients who have been referred for a Same Day Appointment first, using the earliest slot available. For non Same Day Appointment decisions, relaying back the GPs decision as given by the contact method preferred from the submitted eConsult. Ensuring eConsult Triage is completed and as up to date as possible by the end of your rotad shift and any unused eConsult Triage slots are changed to Patient Clinical Admin at the end of each day.

When rotad be the Face of RHG at the Reception, meeting and greeting patients & visitors. Checking in for appointments/meetings and directing to appropriate waiting areas as necessary. Booking in patients for routine appointments with GP/Nursing team and ensuring patient has an appointment card clearly showing date, time, appointment type and site. Dealing with any walk-in triage requests using the triage template as outlined above. Accepting and recording samples, printing off Ice Forms and attaching to samples when appropriate. Placing all verified samples in the correct sample bags for pick-up by the laboratory courier. Checking with all nursing team for late samples prior to the Courier leaving. Receiving documents and recording on patients record. Sending tasks to GPs when appropriate. Take payment for private work and travel vaccinations and recording payment on patients record. Ensure reception area is fully stocked with appropriate sample bottles and appropriate registration, consent and change of address forms. Keep reception area tidy and professional in appearance.

Ensure your online training is up to date and 100% complete

Attend PLT Training Days once a month in person and virtual

To be current with statutory & mandatory training (SMT), and other training as needed by your role
