Job summary

As a Receptionist you will be the first point of contact for patients and your duties will include making appointments, answering basic queries filing, updating medical notes with hospital letters.

You will also be phoning patients to come to the surgery for their routine check ups.

Job Summary :

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team members and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Work both independently and within the practice team to promote a patient orientated delivery of health care services.

Organise their daily workload to ensure the smooth running of the appointment system.

Input data on the computer as per Triangle Group Practice protocols to ensure that patient information is kept updated

Job Responsibilities - Receptionist Triangle Group Practice

Administration

To have a thorough knowledge of all Triangle Group Practice Policies and Procedures

To work in accordance with Triangle Group Practice protocols

To maintain a computerised medical database

To Email and photocopy as requested

To receive deliveries into the practice and process the relevant accompanying paperwork

To adhere to the practice protocol for incoming and outgoing petty cash

To open, sort and date all incoming post and process according to practice protocols

To sort and file clinical letters in the appropriate files

To pull Lloyd George notes from the filing system and amalgamate them with the computerised patient record in preparation for the return of the patients notes to the CCG.

To sort patient notes received from other practices into date order, oldest letters at the bottom, newest on top and amalgamate with any new notes from Triangle Group Practice clinicians

To scan and Read Code clinical letters as directed by GPs using appropriate codes

To send out recall letters

To observe and adhere to security requirements

To report all accidents/untoward incidents promptly to their line manager or as per the Incident Reporting Policy

To liaise with the manager to identify problems relating to Patient dissatisfaction

To respond to and resolve, as far as possible, patient queries by examining paper and computerised records or by liaising with the appropriate clinician. These may be face to face or by telephone

To participate in appraisal

To ensure their own knowledge of building facilities, security or fire systems, health and safety policy and other practice procedures is kept up to date by attending staff meetings and reading circulated material designed for this purpose

Reception

To adhere to Triangle Group Practice repeat prescription protocol

To have working knowledge of the telephone system, during and out of hours

To be able to undertake all reception duties as necessary

To handle in-person/telephone requests for results and book appointments with the clinician to discuss results or inform them of abnormalities ONLY in accordance with the practice policy

Appointments

To schedule Patient appointments according to medical or nursing need

To process appointment requests using the Triangle Group Practice appointment protocols

To deal with home visits requests in accordance with Triangle Group Practice protocols

To keep waiting Patients informed of delays in the appointment system

To make detailed, accurate and legible notes of messages received for other members of the practice team. Ensure that messages are noted with the time, return telephone numbers and on the appropriate date

To book and receive visitors, verify identity and accompany to the point of destination within building. Ensure visitors do not have access to unauthorised areas without supervision

To accurately and legibly transcribe telephone / face to face messages onto the appropriate department.

To liaise with hospitals and outside agencies

IM&T

Register new or temporary patients, assisting where necessary, with the completion of forms

To process registration links

To process patients change of address

To maintain a computerised medical database

To process repeat prescription request in accordance with practice guidelines.

Process Pathology links and send out recall letters as needed

To input data for Cytology and Childhood Immunisations accurately

To assist in the processing of E-referrals in accordance with practice procedures
