Job summary

Harptree and Cameley Surgeries have an opportunity for a Receptionist/Administrator to join our team, on a part-time and permanent basis. You will be part of a team that prides itself on providing exemplary service to our patients and colleagues at all times.

Applicants should be welcoming, friendly and compassionate, and able to manage a busy role whilst maintaining excellent customer service.

Main duties of the job

To be responsible for undertaking a wide range of reception duties, administrative work and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

About us

Harptree and Cameley Surgeries serve a population of 6800 patients, with a team consisting of receptionists, doctors, healthcare assistants, nurses, a care co-ordinator, pharmacist, administrators, and dispensers.

We pride ourselves on the service we delivery to patients, and recieve excellent Friends and Family Feedback each month. The reception team is led by our Lead Receptionist, and regular team meetings allow for the sharing of new ideas and development of new processes that will improve the patient journey through the Surgery.

Our recent addition to the Surgery of a Garden Room as a staff room at Harptree Surgery has given a well-deserved relaxation space to our staff. It provides a complete 'get away' for lunch and break-times.

Job description

Job responsibilities

The following are the core responsibilities of the receptionist and administrator role. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Maintaining and monitoring the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Signpost patients to the correct service

e. Initiating contact with and responding to, requests from patients, team members and external agencies

f. Assist in managing the surgery email inbox

g. Enter read-code and other data on the clinical system (SystmOne)

h. Photocopy documentation as required

i. Data entry of new and temporary registrations and relevant patient information as required

j. Input data into the patients healthcare records as necessary

k. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the appropriate person(s)

l. Process and follow up two week wait referrals

m. Manage all queries as necessary in an efficient manner

n. Carry out system searches as requested

o. Maintain a clean, tidy, effective working area at all times

p. Monitor and maintain the reception area and notice boards

q. Support all clinical staff with general tasks as requested
