Job summary
Mere Lane Group Practice is looking to recruit an enthusiastic, hardworking, flexible GP Receptionist/Administrator to join our busy and growing surgery.
Ideally you will have a minimum of 1 years experience.
You will:
Receive, assist and direct patients in accessing the
appropriate service or healthcare professional in a courteous, efficient and
effective way.
Provide general assistance to the practice team and project
a positive and friendly image to patients and other visitors, either in person
or via the telephone
Provide administrative support for the completion of all
back office functions.
Main duties of the job
The successful applicant will be required to work 37.5 hrs p/w, between 8am and 7pm Monday to Friday, shift pattern will be determined by practice manager and will included at least 3 later evenings.
You will be required to complete all reception and back office functions of a busy GP
The ideal candidate will have the following skills :-
Ability to Remain calm under pressure and when dealing with challenging situations.
Knowledge of medical terminology, knowledge of reproductive medicine is an
advantage
General computer skills (Microsoft Windows and Office Suite, EMIS is an
advantage )
The ability to be dynamic and sympathetic (we deal with many patients who have very complex medical needs)
Well organised, systematic and meticulous attention to detail.
Ability to manage own workload, prioritise, follow-up and ensure all tasks are
performed in a timely manner

The
following are the core responsibilities of the receptionist/administrator. There
may be on occasion, a requirement to carry out other tasks; this will be
dependent upon factors such as workload and staffing levels:
Maintaining
and monitoring the practice appointment system
Process
personal, telephone and e-requests for appointments
Answer
incoming phone calls, transferring calls or dealing with the callers request
appropriately
Action
all incoming faxes
Signpost
patients to the correct service
Process
incoming and outgoing mail
Initiating
contact with and responding to, requests from patients, team members and
external agencies
Process
all DNA letters in accordance with current policy
Action
GP2GP tasks
Completion
of daily electronic tasks
Read
code data on EMIS web
Photocopy
documentation as required
File
and store records as required
Data
entry of new and temporary registrations and relevant patient information as
required
Input
data into the patients healthcare records as necessary
Scanning
of patient related documentation and attaching scanned documents to patients
healthcare record
Manage
all queries (including administrative queries) as necessary in an efficient
manner
Carry
out system searches as requested
Maintain
a clean, tidy, effective working area at all times
Monitor
and maintain the reception area and notice boards
- Support
all clinical staff with general tasks as requested
In
addition to the primary responsibilities, the medical administrator may be
requested to:
Support
the practice QOF programme
Support
the practice with summarising of patient records
Partake
in audit as directed by the audit lead
Support
administrative and reception staff, providing cover during staff absences
Complete
opening and closing procedures in accordance with the duty rota
As
required support the practice in the management of repeat prescriptions,
ensuring they are processed accurately and efficiently
Ordering
and monitoring of stationery supplies
Attendance
of all practice meetings as determined by the practice manager
Completion
of all yearly mandatory training as directed by the practice manager
