Job summary
Guardian Medical Centre is seeking an enthusiastic, forward thinking,
dynamic and motivated individual to provide secretarial & administration services at our medical
centre.We are a friendly and well-established training practice with a
current list size of 11,500 patients.
The successful candidate will be a valued and crucial resource to
support our patients, clinical and administrative teams.
You will be supported by an experienced multi skilled team of clinical
and non-clinical staff. We currently have 4 GP Partners, 5 Salaried GPs, 3
Practice Nurses, 1 Healthcare Assistant, 2 Managers and focussed Reception,
Prescriptions, Secretarial and Administration Teams to support the smooth
running of our practice.
Main duties of the job
The successful candidate will be working alongside secretarial and administration colleagues to manage all workflows relevant to the roles.
The candidate will be required to work efficiently to gain essential knowledge
of local referral services, referral pathways and our practice policies and
procedures.
The position is particularly IT focused with the daily use of our
clinical system (TPP SystmOne), Microsoft Office packages, the ICG referral
gateway system and Lexacom dictation software to process and deal with
referrals. The position will include daily audio typing alongside other
clerical and administration work relevant to the role.
One of the responsibilities of the post-holder will be to assess and
direct incoming clinical correspondence to support the reduction of paperwork
for our clinical teams. This will require a good pre-existing knowledge of
medical terminology and will include processing and signposting correspondence
in accordance with practice policy. Full training will be provided in this area
due to individual practice procedures.
The post holder will also be required to support the practice management
team with scheduling and minute taking of our practice team meetings, audits and ad-hoc work as required.

reports, patient referrals, minutes and memorandums in an accurate and quality
manner
To work with the Warrington Referral Access Gateway (WRAG) booking
system and liaise with patients regarding referrals and appointments.
Distribute pathology results to the appropriate clinician
Processing, coding and filing of incoming clinical correspondence
Using the clinical system, check GP availability and file results
appropriately to them
Schedule meetings & take meeting minutes
Check and file electronic letters to the appropriate clinician
To assist the practice manager with all clerical and administrative
duties
Liaise with hospitals and various agencies under the direction of the
Doctors and/orPractice Manager, in accordance with Practice Policy and
Procedure
To establish and maintain filing and administrative systems so that
written or computer information is easily accessible and secure
Summarising of medical records and maintaining a system of auditing
summarised records
