Job summary
Due to the expansion of our workforce, an opportunity has
arisen for an additional Medical Receptionist to join our busy and friendly
team at Guardian Medical Centre. The position could be either 32.5hours per week with a fixed shift pattern over four days and a regular day off each week or full time.
The successful candidate would be required to work
collaboratively with all members of our practice team to carry out reception
duties efficiently and accurately. Applicants must have excellent telephone,
communication and IT skills.
Our ideal candidate would be team orientated, resilient and
flexible and be able to demonstrate a caring and empathetic approach to
patients.
Main duties of the job
A Medical Receptionist must have an excellent telephone manner, customer care, be organised and able to work under pressure during busy and difficult times. It is important to be able to help patients access appropriate services and to manage various patient needs - no two days are the same.

Administration

To have a thorough knowledge of all
Practice procedures.

To work in accordance of written
protocols.

Pulling/filing notes for surgeries
and update as necessary.

Filing post in medical records.

Fax and photocopy as requested.
Reception
-
Receiving patients consulting with
members of Practice team.

Handing completed repeat
prescriptions to patient and checking names and address.

Be able to cover all reception
positions as necessary

Make appointments following practice
procedures and monitor flow of patients into consulting and treatment rooms.

Ensure that patients without
appointments but who need urgent consultation are seen in a logical and
non-disruptive manner.

Deal with home visit requests.

Process appointment requests for same
day and future appointments from patients by telephone and in person.

Ensure total familiarity with all appointment
systems in effect including regular and incidental variations.

Book appointments and recall ensuring
sufficient information is recorded.

Monitor effectiveness of the system
and report any problems or variations required.

Divert calls and take messages as appropriate.

fully understood. A good telephone manner is required at all times, following
the practice guidelines.
Computer

Registrations of new patients
computer data entry and medical records.

Medical Records

The practice uses computerised
medical records. Guardian Medical Centre is working towards being a paperless
practice.

Retrieve and re-file records as
required, ensuring that strict alphabetic order is adhered to.

Ensure scanned attachments are linked
to the correct computer patient record.

Ensure records are kept neat and tidy
and in good repair with all necessary information recorded and updated
correctly on the outer cover.

Update medical records wherever
necessary and in accordance to practice guidelines.
-
Ensure accurate read codes are used
when entering data onto computerised medical records.
Other Tasks

Action requests for ambulance
transportation.
- Monitor admin requests on online consultation system.

Advise patients of relevant charges
for private services, accept payment and issue receipts for same.

All messages to be sent via patient
task or e-mail.

Any other tasks allocated by
managers.

Clear rooms after surgeries.

Ensure building security have
thorough knowledge of doors/windows/alarm.

procedures are completed.
