Job summary

Part-Time Receptionist Required Monday to Friday | 14:00 19:00 (25 hours per week)

We are seeking a Receptionist to join our friendly afternoon reception team. The successful candidate will be a flexible and reliable team player who enjoys working with people and is able to multitask in a busy environment.

Comfortable managing multiple tasks in a fast-paced setting

Experience using the EMIS system is desirable

Job description

Job responsibilities

Key Responsibilities & Duties:

To answer the phones in a courteous manner.

To book telephone triage appointments and deal with patient queries in a polite and helpful manner.

To book follow up appointments for patients as appropriate.

To ensure that all messages are taken properly as per the Practice protocol.

To book ambulance and interpreters when required as per practice protocol.

To do photocopying, faxing and computer printouts when required.

To log visits on screen as per practice protocol and print out patient profiles for GPs.

To collate medical records for summarizing.

To pull notes for clinicians when required.

To open all post or courier correspondence addressed to doctors (with the exception of those marked private and confidential. To distribute post addressed to other personnel as appropriate.

To scan all correspondence addressed to doctors relating to patients. To ensure all scanned documents are assigned to the appropriate patients records and allocated to a clinician to action.

To assign all correspondence in the practice generic email to patients records and allocated to clinicians.

To assign documents on workflow as per practice protocol.

To ensure all correspondence in the scanning tray in office is emptied for scanning on a daily basis.

To keep up to date with practice protocol in all areas relating to the smooth running of reception

To support prescriptions clerk in issuing repeat prescriptions and cover when regular staff is not available.

To do shredding as and when required. To empty all recycling boxes and shredding boxes.

To tidy up doctors and nurses rooms at the end of surgery. To ensure all doctors and nurses rooms are stocked adequately with stationery and other relevant supplies eg. bedrolls, blue towel, tissue etc.

To attend and contribute to reception meetings and staff/doctor meetings.

To undertake any tasks required as requested by the Head Receptionist to ensure the smooth running of reception.
