Job summary
We are looking for a dynamic, enthusiastic and flexible individual to join our reception/administration team. As well as being the point of contact for patients when booking appointments, you will also be responsible for handling queries and liaising with our clinical team. There is a real opportunity for development and growth for the right candidate with the right attitude.
Main duties of the job
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Deal with all general inquiries, explain procedures and make new and follow-up appointments.
- Using your own judgment and communication skills ensure that patients have a smooth and easy journey to get the care they need in the practice.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Answer phone calls in a prompt manner, book appointments, take messages and ensure accuracy of messages and phone numbers
- Work as part of a large and dynamic team to give the best care possible for all of our patients
About us
We are a busy NHS practice servicing 21,000 patients. We are looking for an exceptional medical receptionist to join our established team.
We need someone with a sharp mind, eager to learn, willing to listen and wanting to help our patients. Team work, and working independently required in this role. An excellent level of english required.
Successful candidates will have excellent customer service skills, will be computer literate and want to work as part of an existing phenomenal admin team.
We offer a wide range of Primary care services, with Doctors, Nurses, Pharmacists Health Care Assistants Social prescribers, Paramedics and Physician Asssociates. Our receptionists are trained as care navigators to help the patients access appropriate care.

- Dealing with patient medical records in an efficient and confidential manner, acceptable to the Practice
- To be willing to be trained and become proficient in the use of the clinical system (System1).

Duties & Requirements
- Reception duties will require the use of a number of skills to ensure efficiency of the appointments system and to allow the monitoring of the flow of patients into the consulting and treatment rooms
- To deal with patients requiring urgent appointments in a way that ensures they are seen in a logical and timely manner
- Be aware of practice policies and procedures for all elements of your role
- Advise patients of relevant charges for private work and to accept and deal with payments adhering to the practice policies
- Deal with all patient queries and requests for assistance, efficiently and politely
- Deal with the emergency line for home visits and record all relevant information for the duty doctor
- Be proficient at the repeat prescribing procedures
- Action requests for patient transport as necessary
- Ensure reception, waiting room and consulting rooms are kept clean and tidy after each surgery session.
- Become familiar with all routine aspects of the clinical computer system and be willing to enter data, as instructed by senior staff
- To ensure that all medical records are accurate and as per practice policies and procedures
- To ensure that correspondence, reports, results etc are filed correctly, accurately and in a confidential manner, either electronically or paper records
- To assist, when requested, in arranging appointments for patients who are recalled to the practice for regular health checks and reviews to meet our practice targets
- To organise patient referrals to secondary care using the current electronic system or preferred method
- To abide by all Health and Safety regulations
- To comply with all in-house rules as set out in the Employee Handbook
