Due to an internal promotion, West Walk Surgery have an exciting opportunity for a motivated, forward-thinking Assistant
Practice Manager to join their friendly team based in The West Gate Centre Yate.

Main duties of the job
The role is to assist the Practice Manager in the day to day running of West Walk Surgery and our branch Surgery at Coalpit Heath.

West Walk Surgery is a friendly 15,000 patient practice.
We work alongside 5 GP partners, 6 salaried GPs, Clinical Pharmacists, Paramedics, Mental Health Nurse, Practice Nurses, Healthcare assistants all supported by our Admin team.

Main Responsibilities:
HR
- Organise staff inductions, arrange paperwork, logins and smartcards for new members of staff
- Help with the recruitment of permanent staff and locums
- Organise staff training on all aspects of general practice as required
- Management of clinical and non-clinical annual leave calendar
- To organise staff appraisals as required
- To assist with action following on from appraisals
- Deal with and ensure up to date HR paperwork.
Operations
- Ensure that all administrative systems are running smoothly and recommend any necessary improvements
- Proactive and Reactive Operational support to clinical staff
- Can respond to urgent /non urgent operational support and also committed to forward planning and ensuring smooth running of clinical service
- Help the Practice receive a CQC excellent rating
Finance
- Help with CQRS and NHS England claims
- Ensure systems are in place to reach targets
- Work with our payroll company in sending on monthly staff salary updates/overtime
IT support
- To provide support to staff to ensure that they complete annual training on confidentiality and security of data and provide training as required
- To provide support and training for current and new staff in resolving simple problem with PCs and printers
- To liaise with IT support department to resolve other hardware and software issues
- Train new and existing staff as necessary on IT applications
- To assist with the development and implementation of the practices IT improvements
Premises Coalpit Heath and West Walk Surgeries
- To help deliver health and safety requirements, undertake risk assessments and organise annual fire training
- To assist with the building management so it complies with all aspects of legislation and best practice
Administration
- Organise the annual patient survey, collate results and feedback to the practice team
- Produce a quarterly patient newsletter
- Organise the annual review of patient complaints and ensure that action points are minuted and followed up.
- Produce patient leaflets as required, ensure that existing patient information is correct and up to date and ensure that reception area and clinical rooms have a supply of leaflets
Other duties
- Deputise for the Practice Manager in their absence
- Provide administrative support to Practice Manager as required
- To undertake any other duties as agreed with the Practice Manager and/or partners
