Job summary

We are looking to recruit a dispensary administrator to join our dispensary team at Empingham Medical Centre.

We are a growing 9000+ patient GMS practice with full compliment of practice staff including clinical pharmacists.

We are members of the Rutland Health PCN.

Main duties of the job

  • Process repeats prescription requests received by phone, email, post, slips and the online access system, in accordance with practice protocol.

  • Ensure medication reviews are arranged by maintaining an accurate recall system according to practice standard operating procedure.
  • Maintain the monitoring process for High-Risk Drugs ensuring patients have been issued with the appropriate blood forms as directed by hospital as part of shared care.
  • Process prescriptions for the practice medication delivery service.
  • Support the clinical pharmacists and dispensary team.
  • Date check stock within the dispensary.
  • Carry out DRUM reviews and code onto System One
  • Partake in audit as directed by the audit lead

About us

Empingham Medical Centre is situated in the village of Empingham, on the edge of Rutland Water in the heart of the picturesque county of Rutland. We provide GP and Nurse appointments and are a dispensing practice.

The practice area covers 120square miles in the villages surrounding Rutland Water. We are members of the Leicester Leicestershire and Rutland integrated health board (LLRICB).

We area popular practice , rated highly in local and national patient satisfaction surveys. We were rated GOOD in all areas of our CQC inspection.

The practice is part of the Jubilee Academy and is actively involved in teaching 3rd & 5th Year medical students from Leicester medical school. We are also involved in a range of research studies through the East midlands clinical research network.

Job description

Job responsibilities

The following are the core responsibilities of the Dispensary Administrator. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

  1. Process repeats prescription requests received by phone, email, post, slips and the online access system, in accordance with practice protocol.

  1. Produce prescriptions for the GP to sign in an acceptable timeframe.

  1. Ensure all prescription requests are processed and are ready for collection within a 72-hour timeframe.

  1. Generate requests for medication on behalf of the patient for non-repeat items according to standard operating procedures.

  1. Actively encourage patients to reconcile medications to facilitate monthly collections.

  1. Discuss with patients their requirements, encouraging patients to order only what they require.

  1. Act upon compliance issues, liaising with the appropriate clinician.

  1. Ensure medication reviews are arranged by maintaining an accurate recall system according to practice standard operating procedure.

  1. Maintain the monitoring process for High-Risk Drugs ensuring patients have been issued with the appropriate blood forms as directed by hospital as part of shared care.

  1. Process prescriptions for the practice medication delivery service and check prior to delivery which takes place on a Thursday.

  1. Effectively liaise with external services, i.e., community nurses, to ensure medicaments are arranged for housebound patients.

  1. Input data into the patients healthcare records as necessary

  1. Deal with all prescription related enquiries in a timely manner

  1. Record and report adverse effects accurately and appropriately, informing the Dispensary Manager immediately.

  1. Data input onto system one

  1. Carry out system searches as requested.

  1. Hand out dispensed medication at the dispensary reception, ensuring taking correct charges according to practice SOP.

  1. Maintain a clean, tidy, effective working area at all times.

Secondary responsibilities

In addition to the primary responsibilities, the Dispensary Administrator may be requested to:

  1. Support the clinical pharmacist and dispensary team.

  1. Date check stock within the dispensary.

  1. Carry out DRUM reviews and code onto System One

  1. Partake in audit as directed by the audit lead.

Essential

  • GCSE grade A to C in English and Maths

  • previous experience working in general practice or pharmacy.
