Job summary

We are a GP Practice based in Swinton, South Yorkshire and we are looking to recruit an enthusiastic person to provide additional support to our medical secretarial team. The role has some associated duties including clinical coding. We are a teaching GP practice with over 9,400 patients and a team of enthusiastic, multi-disciplinary and friendly staff. We are looking for an employee with initiative, a strong drive to get things done and above all a Team player.

We are looking for someone with excellent communication skills as well a very high level of computer literacy skills, a compassionate and friendly nature, and an aptitude for great customer service. You will have the ability to work in a demanding environment and be committed to offering the best possible care to patients and excellent support to our clinical team.

This is an exciting time to be joining the practice as it undertakes improvements in streamlining back-office support services so that we are the best that we can possibly be for our patients and staff alike.

Main duties of the job

The main duties of the role are:

  • Typing of all referral letters, reports via digital dictation
  • Monitoring & booking of Choose & Book (ERS), e-Referrals and Advice & Guidance
  • Liaising with other Health Care Professionals and patients
  • General IT - using templates within the system and sending emails
  • Clinical coding of medical records and incoming letters

Crown Street Surgery is an established GP practice based in Swinton. We are a friendly motivated team who deliver a high standard of care to all our patients. We are a SystmOne practice and have approximately 9,400 patients.

We are part of Wentworth 1 PCN and work collaboratively with other neighbouring surgeries to offer additional services to our patients.

Must be able to provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals in an accurate and quality manner using Lexacom software. Managing choose & book to make appointments, bookings and admissions as required including e-referrals and monitoring Advice & Guidance.

Main duties of the job

Essential - audio typing experience, good knowledge of Microsoft software and experience of working in a GP practice.

Desirable - SystmOne experience and medical terminology

We are a busy GP practice with over 9400 patients. 1 GP partner, 2 salaried GP, 3 GP Locums, 1 GP Registrar, 1 ACP, 2 ANP's, 3 Practice Nurses, 1 Nurse Associate, 1 HCA and a Phlebotomist.

NHS pension scheme, 33 days annual leave inclusive of bank holidays.

Job summary:

To provide general secretarial support to the practice manager, doctors and health professionals, involving word processing and audio typing skills with general clerical work.

Job responsibilities:

  • To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
  • To assist the practice manager with all clerical and administrative duties.
  • To make appointments, bookings and admissions as required.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records and assist the completion of medical/insurance records.
  • File patient records and correspondence in patient medical records.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To maintain the computer clinic system in an accurate and secure manner.
  • To assist with the gathering of statistics and information when required.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.

  • Using personal security systems within the workplace according to practice guidelines

  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
  • Undertaking periodic infection control training (minimum annually)
