Job summary

This is an exciting opportunity for an experienced Administrator to join the team to provide admin support and services for the practice.

This is a part-time role for a total of 23 hours p/w.

Main duties of the job

We are looking for a motivated Administrator who is passionate about providing high quality healthcare and tackling the role in new and exciting ways. We want you to come and work alongside an already motivated and inspiring practice team of like-minded and varied professionals.

About us

We are currently a two site practice based in Gloucester and the successful candidate would be working across both sites. The surgery is extremely well-established, friendly, supportive and inclusive. We have a practice size of approximately 12,000 patients currently based over the two sites which are located within ten minutes of each other. We are committed to the well-being of our patients and staff and always welcome new ideas to improve patient care. We are very proud that we provide very high standards of care and are currently rated Good by CQC. We are part of a 5 practice Primary Care Network (NSG PCN) which includes ourselves, Brockworth, Hucclecote, Longlevens and Churchdown surgery. The practice uses EMIS Web as its clinical system.

Job description

Job responsibilities

Duties include but not limited to:

  • Keeping an log of Subject Access Requests (SAR's) to fulfil turnover time from initial request.
  • Reviewing medical records and producing an accurate summary of the patients medical history
  • Providing patient with copies of their full medical records when requested (SAR's)
  • Redacting medical records appropriately/when necessary
  • Keeping a log of requests for completion of forms or medical reports
  • Liaising with GP's to ensure that any work carried out is appropriately charged for
  • Invoicing accordingly and ensuring payments are received prior to any work being carried out.
  • Read Coding the information into the practice clinical system
  • Monitoring progress of notes summarising against practice targets
  • Filing and retrieving paperwork
  • Extraction of necessary data from clinical correspondence and input into electronic patient Record.
  • Scanning and input of letters, forms, results onto EMIS via our document manager system (Docman)
  • File copies of hospital letters and referrals
  • Summarisation of patients notes when requested.
  • Ensure all new registrations are entered onto the database
  • Update the database for all patient change of registration status as notified
  • Return of medical records to PCSE in accordance with requirements
  • To attend staff meetings and time out events.

  • To provide cover for administration duties as and when required for holiday, sickness and other absences.
