Job summary

At Quarry Bank Medical Centre, our reception and administration team are the first point of contact for patients and play a vital role in ensuring the smooth running of our busy GP surgery. This role is at the heart of patient care from answering calls and booking appointments to supporting clinical colleagues with essential administrative tasks, you will help us deliver safe, efficient and compassionate services every day.

Main duties of the job

As part of our reception and administration team, you will be the first point of contact for patients, whether face-to-face at the front desk or over the telephone. Your role will involve handling patient enquiries, booking and amending appointments, and directing queries to the appropriate clinicians or services. Youll support the smooth day-to-day running of the surgery by processing repeat prescription requests, managing incoming correspondence, and ensuring accurate data entry on our clinical systems.

You will play a key part in supporting clinicians by preparing and organising paperwork, handling messages, and following up on tasks to ensure patients receive timely care. This role also involves working with other team members to maintain practice systems, follow protocols, and keep records up to date.

Above all, your role will be about providing a welcoming, professional service to our patients, protecting confidentiality, and helping to maintain the efficient, friendly environment our practice is known for.

  • Experience of working as part of a team in a busy environment

Desirable

  • Experience of working in a GP surgery or primary care environment
  • Experience of using clinical systems such as EMIS, Docman, or Accurx
  • Experience of processing prescriptions or supporting clinical administrative tasks
  • Experience of phlebotomy or other patient-facing support skills (e.g. chaperoning, health screening, first aid)
  • Experience of working directly with vulnerable patients or in a healthcare setting

Qualifications

Essential

  • GCSE qualifications: Minimum of Grade C/4 or above in both English and Maths (or recognised equivalent qualification), demonstrating a good standard of literacy and numeracy required for administrative and patient-facing tasks.
  • Level 2 Business Administration course: Successfully completed a formal Level 2 qualification in Business Administration, either general or health-focused, showing evidence of understanding core administrative principles such as record keeping, communication, and organisational procedures.
  • NVQ Level 2 in Business Administration: Achievement of a nationally recognised NVQ Level 2 qualification in Business Administration (general or health-focused), with assessed competence in carrying out administrative duties in line with professional standards.
  • Completed apprenticeship in Administration: Successful completion of an Administration Apprenticeship at Level 2 (general or health-focused), demonstrating workplace-based learning and practical experience in handling a variety of administrative tasks.
  • Experience route: As an alternative to formal qualifications, applicants must have a minimum of three years continuous experience working in a GP surgery, with evidence of competence in patient-facing reception duties, use of clinical systems, and supporting administrative processes in a primary care environment.
