Job Summary The Secretarial Team are responsible for providing secretarial services to the GPs Advance Nurse Practitioners and Practice Manager.

Duties will include processing patient referrals for secondary services. To provide a comprehensive efficient and effective service excellence to all our patients

Main duties of the job

Demonstrate a professional and courteous manner

Acceptance for strict confidentiality.

Communicating effectively and courteously with all

To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required

Make appointments, booking and hospital admissions as required

Maintain filling and administrative systems.

File patient records and correspondence in patient medical records

To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communication.

Updating and maintenance of franking machine with postage

To provide cover secretarial/ administration team during periods of sickness and annual leave.

Recording written communication legibly and accurately

Efficiently planning and prioritising own workload.

Deal with general enquiries and verbal complaints

Monitor and action tasks via Emis Web.

Action 2 week referrals for patients.

Incident reporting via SIRMS (safeguard incident & risk management system)

Communicate effectively with the practice team

Deal efficiently with Solicitor requests, including payment and redacting of 3rdparty information

Resolve job related issues, including patient documentation and help resolve minor problems

Attend meetings when required

To work safely at all times in accordance with legislation and practice policies

Be flexible both in the availability and being able to cover for colleagues absent from work due to annual leave or sickness.

Our practice is based in Howdon, Wallsend, and serves a patient population of approximately 9,500. We are a very busy practice, but we pride ourselves on having an excellent and dedicated team of staff who work collaboratively to ensure that patient care remains our top priority.

  • Working knowledge of medical secretarial duties (via CV and at interview)
  • Experience of dealing with the public/patients
  • Previous experience in General practice or NHS setting
  • Experience of computer based clinical systems EMIS Web

Qualifications

Essential

  • Good general education with a minimum of five GCSEs or equivalent Proof of study to age 18 (qualifications)

Knowledge and Skills

Essential

  • Good interpersonal skills with the ability to communicate effectively with a diverse range of people.(determined at interview)
  • Excellent written and attention to detail
  • Ability to effectively use the internet and e-mail within guidelines
  • Ensure all telephone calls are answered efficiently and effectively
  • Computer Literacy
  • Good customer service skills both over the phone and face to face.
