Job summary

We are looking for part time receptionist (Monday to Friday) Applicants must have previous Reception/customer service experience of around five years and have excellent communication, organisation and IT skills. Knowledge of EMIS would be an advantage. It is vital for this individual to have a flexible and adaptable approach to their work and can work well on their own or as a team.

A Receptionist should be sympathetic yet firm with a sense of loyalty to the Practice, Manage their time and workload effectively. Always maintain strict confidentiality and work together with all the staff employed by the organisation to ensure the smooth running of the Practice.

Main duties of the job

To participate fully in the running of the reception area in order to provide an efficient service for the Patients and Clinical Staff.

Attend to Patients at the Reception Desk, Learn, understand and maintain the computerised appointment system. Assist the Patients with any problems of a general nature as and when they arise. Answer the telephone, take messages and convey their content to the appropriate Doctor or Nurse or other members of staff via a computerised systems and relay replies back to the Patients as applicable.

Acquire a good knowledge of the Practice procedure for registering new patients and the rules regarding the movement of existing patients. Ensure that all relevant forms are completed correctly and the relevant proofs of address are provided before submission. Handle urgent requests for appointments/visits, screen messaging or contacting the Doctor on call as necessary and deal with all emergencies in a prompt and efficient manner. Assisting the clinical staff as necessary when dealing with all emergencies in surgery.

To be involved in the opening and distribution of incoming post, recording all outgoing post and balancing the post, attain working knowledge of the franking machine and to be responsible for the operation of the Reception Income and Reception Petty Cash systems ensuring that all book work and monies agree.

Carry out any other reasonable duties requested by the management team or Doctors.

Lyndhurst Medical Centre is an expanding 4 Partner PMS teaching practice with a patient population of 12,000. We are looking to employ a Part time receptionist on a contract for 23 hours a week. You will be working within a well-established, friendly and innovative team in a highly regarded GP practice at the heart of the local community in Barnehurst (London Borough of Bexley). We are looking for a candidate who is able to work in a busy environment and is dedicated & flexible and can demonstrate the ability to give a caring and professional service to our patients.

Job responsibilities

1. Attend to Patients at the Reception Desk. Learn, understand and maintain the computerised appointment system relating to the Clinical team and carry out all relevant procedures.

2. Assist the Patients with any problems of a general nature as and when they arise. Answer the telephone, take messages and convey their content to the appropriate Doctor or Nurse or other members of staff via a computerised systems and relay replies back to the Patients as applicable.

3. Acquire a good knowledge of the Practice procedure for registering new patients and the rules regarding the movement of existing patients. Ensure that all relevant forms are completed correctly and the relevant proofs of address are provided before submission.

4. Ensure that the full details of any Home Visit requests are taken and ensure that the correct details are passed to the correct Doctor, taking on board the rota and if a GP is absent and rules for visits received after 11.00 am.

5. Handle urgent requests for appointments/visits, screen messaging or contacting the Doctor on call as necessary and deal with all emergencies in a prompt and efficient manner. Assisting the clinical staff as necessary when dealing with all emergencies in surgery.

6. Make arrangements for hospital transport as required ensuring that the correct details are forwarded to the transport provider and confirm that the booking has been received.

7. Make arrangements for Interpreters as required ensuring that the correct details are forwarded to the provider and confirm that the booking has been received.

8. Checking of emails when necessary, scan and email documents as and when required ensuring that a sent confirmation is received and the request and confirmation is filed.

9. Assist Patients with processes and queries relating to the repeat prescription system ensuring that patients are fully aware of the 72 hour lead time for processing prescriptions.

10. Make full use of the computer systems, EMIS, EMIS Community and Docman, and familiarise oneself with the operation of these systems, using the computer as required for obtaining, recording and updating patient information.

11. Operate the Practice procedure for providing copies of pathology results to patients and the recording of the same.

12. Operate the Practice procedure for providing patient information to Secondary Care Providers and the recording of the same.

13. Operate the Practice procedure for actioning patients requests for blood test forms.

14. Operate the Practice procedure for contacting patients re pathology results and letters where further action is required.

15. You may be called upon to liaise with the computer software suppliers or the local IT Department for computers (hardware faults) in the event of problem occurring.

16. Be responsible for opening/locking up the Surgery premises (including outside gates and shutters) and switching the alarm on/off as appropriate.

17. Carry out any special procedures as required ie checking the computerised appointment system, computer listings and any other special projects.

18. To liaise and co-operate with all colleagues including attached staff ie Health Visitors and District Nurses.

19. To be involved in the opening and distribution of incoming post, recording all outgoing post and balancing the post, attain working knowledge of the franking machine.

23. To participate in the training of new members of staff a requested by the Assistant Practice Manager.

24. Cover where possible other reception teams sickness and annual leave.

25. To ensure that the waiting room is tidy at all times, leaflets, magazines, posters are all in date and appropriate. Wipe down regularly and also wipe over the self-check in screen
