Job summary
The purpose of the role is to:
- Oversee the Administration Team Roles and Tasks
Provide cover & support as and when necessary; have an understanding of each aspect of the office function
Management of scanning, Coding and workflow process
Oversee the scanning process; ensure there is adequate cover; manage backlog; Update and review processes as necessary; ensure that coded entries are entered appropriately and accurately
Manage admin emails & Safeguarding email.
Attend admin meetings including Safeguarding Meeting when required.
Deal with enquiries by telephone or in person.
Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
Planning and coordinating administrative procedures and systems and devising ways to streamline processes in the use of systmone.
Recruiting and training personnel and allocate responsibilities and office space.
Assessing staff performance and provide coaching and guidance to ensure maximum efficiency
Conduct semi-annual evaluations of administrative personnel and provide guidance about potential improvements in each employees performance
Serve as the liaison between administrative personnel and senior management, communicating needs and concerns so they can be handled expeditiously
Any other duties as advised by the line manager
Main duties of the job
Duties and Responsibilities:
The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Head of Operations/Head of Systems, dependent on current and evolving practice workload and staffing levels:
- Taking accurate messages and passing on information
- Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
- Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
- Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scanning
- Supervising day-to-day operations of the administrative department
- Hiring, training, and evaluating employees, taking corrective action when necessary.
- Developing, reviewing, and improving administrative systems, policies, and procedures
- Any other duties as advised by the line manager
