Job summary
Dinas Lane Medical Centre are looking to recruit a part-time/full-time receptionist / administrator to
provide a high quality administrative service to patients, doctors, staff
colleagues and other health service professionals.
To
ensure a first class customer service is provided to any persons contacting the
Practice by phone or face-to-face.
To
ensure that enquiries from patients are efficiently and courteously handled to
the mutual satisfaction of the patients and partners.
The post holder/s will be
expected to work as part of a team. Flexibility of working hours is essential
in this role and the applicant must be flexible to cover holidays/staff
sickness as and when required.
Working hours will be on a shift pattern between core practice hours of 7.30 am and 6.30pm.
Main duties of the job
To be
responsible for undertaking a wide range of administrative duties and the
provision of administrative support to the multidisciplinary team. Duties can
include but are not limited to, the processing of information (electronic and
hard copy) in a timely manner, liaising with multidisciplinary team members
and external agencies such as secondary care and community service providers and
in accordance with current policies, including the use of the electronic
referral service (ERS). Scanning, coding, summarising, dealing with telephone calls, booking/cancelling appointments.

size of over 10,500. We are a friendly, aspirational and enthusiastic team. We are also a training practice. The
clinical team consists of 4 Partners, 4 Salaried GPs, 2 ARRS GPs, Paramedic, Mental Health Nurse, 2 Practice Nurses,1 Assistant Practitioner. Trainee Nurse Associate, Phlebotomists. The admin team
includes Practice Manager, Deputy Practice Manager, Team Leaders and a
compliment of administration and data personnel.

be on occasion, a requirement to carry out other tasks; this will be dependent
upon factors such as workload and staffing levels:
Processing
incoming and outgoing mail
File
and store records as required
Photocopy
documentation as required
Action
emails on NHS.net
Process
calling letters as requested
Data
entry of new and temporary registrations and relevant patient information
Scanning
of patient related documentation and attaching scanned documents to patients
healthcare records
Process
referrals to external agencies such as secondary care
Input
data into the patients healthcare records as necessary
Action
GP2GP tasks
Process
referrals using the electronic referral system (ERS)
Process
requests for information i.e. SAR, insurance / solicitors letters and DVLA
forms
Process
incoming e-test results, ensuring they are referred to the relevant clinician
Read
code data on EMIS web
Answer
incoming phone calls, transferring calls or dealing with the callers request
appropriately
Manage
all administrative queries as necessary
Maintain
a clean, tidy, effective working area at all times
Book
appointments
Support
all clinical staff with general administrative tasks as requested
In
addition to the primary responsibilities, the medical administrator may be
requested to:
Partake
in audit as directed by the audit lead
Produce
meeting agendas and record the minutes of meetings
Complete
opening and closing procedures in accordance with the duty rota
As
required support the prescription team in the management of repeat
prescriptions, ensuring they are processed accurately and efficiently
