Job summary

The Roseland Surgeries requires a part-time medical receptionist to work between 18 and 20 hours per week over 4 days. This is a permanent position with access to the NHS Pension Scheme if desired. The main purpose of this role is to provide a point of contact for patients and act as a focal point of communication between patients, doctors and other medical staff.The successful applicant will be computer literate, with an excellent telephone manner, and be able to work on their own as well as part of a team.

This position will include working at our Portscatho and St Mawes sites though occasionally you may also be asked to work at our Tregony site to cover holidays and sickness. The surgery is open from 7.30 am to 6.30 pm and so shifts will often include an early start and a late finish each week.

Main duties of the job

  • Greet patients at the front desk and mark their attendance on the computerised appointment system
  • Handle patient enquiries both in-person and over the telephone, making new and follow up appointments, and signposting to relevant services or providing further information where appropriate
  • At all times taking consideration to Practice policies and procedures (e.g. confidentiality, Health & Safety, Equality and Diversity)
  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

  • Monitor and action computerised tasks based on urgency, updating the system as required to contribute and ensure effective communication within the team
  • Further clerical and preparation duties as listed in the job description

About us

The Roseland Surgeries is a three site dispensing practice on the Roseland Peninsula. As a small rural practice we are an integral part of our local community providing an essential service. We are a hard-working, friendly team who support each other to help provide the best possible outcomes for our patients.

Public transport is poor on the Roseland and so access to transport is essential. Applicants are respectfully requested to check the postcode of our main site at Portscatho on Google Maps (or similar) before applying. Although the surgery postal address is Truro, we are some 40 minutes from the centre itself.

Responsible to: The partners - Drs Hynds and Tubman

Reports to: Assistant Manager, Practice Manager

Main purpose of the post: To provide a point of contact for patients and act as a focal point of communication between patients, doctors and other medical staff.

Major duties and responsibilities of the post:

  • When appropriate, open and prepare the premises punctually, check heating and restore telephone services and computer.
  • Handle general enquiries and procedures both in person and on the telephone.
  • Make new and follow up appointments for doctors, practice nurses and attached staff.
  • Greet patients on arrival to the practice, marking their attendance on the computerised appointment system.
  • Ensuring appropriate forms are filled in for temporary residents, emergency or immediately necessary treatment, and new registrations.
  • Accept and pass on messages, record information accurately and appropriately.
  • Record requests for home visits and contact duty doctor with late calls.
  • Oversee and supervise patient waiting area.
  • Aid disabled patients when necessary.
  • Before leaving, check heating, set telephone transfer, set burglar alarm and lock up premises.
  • Process mail as per Practice procedure.
  • Extract medical records or print computerised records when required for surgery consultation, home visits, etc.
  • File medical records.
  • Maintain supplies of stationary available in reception area and surgeries.
  • Photocopy/email documents when requested.
  • Make fair share of tea/coffee for colleagues and undertake washing up as necessary.
  • Air and tidy waiting room and reception.
  • Ensure the Practice's ongoing compliance with the CQC's (Care Quality Commission) essential standards of quality and safety.
  • Take an active part in the development review process.
  • Comply with all relevant Health and Safety regulations and assist the Practice in the implementation of its own Health and Safety Policy.
  • To undertake any other duties as appropriate.

From time to time to may be necessary for the post holder to take on additional duties or relinquish existing duties in order to maintain the efficient running of the Practice, in particular, on occasions when colleagues are on leave.

The duties may change in light of development within the Practice and are subject to review.

The postholder must be willing to have a flexible approach to the hours worked, to help cover for holidays and sickness. This may require working from 7:30am, or until 6:30pm - this is requested with consultation and as much notice given as possible.
