Medical Secretary

Part-time (22.5 hours) permanent contract

We are looking to appoint a permanent part-time medical secretary for 22.5 hours per week on a Wednesday, Thursday and Friday plus holiday and sickness cover.

Experience in a medical secretarial role is desirable (previous secretarial or similar role essential) together with excellent IT, written and communication skills. This role also involves correspondence management and clinical coding.

The successful candidate will be required to have a DBS check.

Main duties include:

  • Deal with all general enquiries, explain procedures and make new appointments for consultant clinics and chase follow up appointments with secondary care.
  • Utilise the electronic choose and book system for hospital referrals, appointment bookings and advice and guidance.
  • Receive and make telephone calls as required.  Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery
  • Provide efficient audio, copy typing and word processing service for GPs and Health Professionals as required.  This includes the typing of letters, reports, patient referrals, minutes and memorandums
  • Use of email to liaise with secondary care and to send/chase referrals and other queries.
  • Use of various systems to send/update correspondence, check appointments and results for GPs and other staff.
  • Reading and reviewing documentation received into the practice via Electronic Data Transfer (EDT), post, fax and email and forwarding to relevant departments. Inform clinical and non-clinical staff of actions to take regarding documents.
  • Coding clinical data from documents within correspondence management.
