The Primary Care Development Directorate are looking to recruit a Project & Administrative Support Officer to provide support to the team as well as to lead on areas of defined projects and / or work streams.

 

The successful candidate will act as the first point of contact, managing telephone calls and e-mails, and will provide assistance and advice to both internal and external stakeholders. This will include maintaining and continuing to develop efficient and effective systems of administration and project support to work streams including extended access primary care, practice training (workflow optimisation and care navigation), seasonal influenza vaccination programme, £1.50 transformation funding, winter pressures framework and supporting primary care development across the Herts and West Essex STP.

 

The post holder will be responsible for the production of high quality documents, including reports, templates, forms, minutes and presentations from handwritten notes and occasionally audio/recordings, using word-processing, Excel spreadsheets, desktop publishing, presentational software (PowerPoint) and other computer software as appropriate.

 

The administrative function of the role will provide full and comprehensive administrative support to the team working alongside the Team Administrator, to enable the directorate to carry out their work effectively. Duties will include the organisation and co-ordination of meetings, distributing agendas, minute taking and disseminating information to a range of internal and external contacts. The post holder will develop and manage project trackers, monitoring project delivery and where required chase progress reports and will be expected to manage and develop autonomously the day to day administrative and support services required by the team.

 

KEY TASKS

 

    • Project management and delivery of aspects of work streams as delegated by the Director of Primary Care Development and team.

 

    • Maintain budget records and assisting with invoices for a number or work streams and projects - working closely with the CCG’s Finance team.

 

    • Patient and Partnership collaborative working including NHS organisations, GPs, Local Authority and independent sector.

 

    • Provide support to the implementation of service redesign which demonstrates measurable improvements.

 

    • Responsible for arranging, organising and preparing meetings, conferences, events documents either via the postal system, electronically or by fax, developing and maintaining filing systems, attending meetings for minute-taking, booking meeting rooms and making catering arrangements.

 

    • Ensure that meeting rooms are correctly set up for meetings with necessary equipment.

 

    • Organise travel and accommodation arrangements for external meetings as required.
