Job Summary

The Solent NHS Trust Community Diabetes Specialist Service are recruiting for a Band 3 Administrative assistant. This full-time role will support our current administrative team with the day to day running of the Diabetes Service. You will be a very valuable member of the team, ensuring a smooth process from referral, welcoming patients into the Diabetes Centre, booking education venues and patient appointments. The successful candidate will also ensure all patient matters/records are dealt with in a confidential, professional and courteous manner.

Service Summary

We are a community-based diabetes specialist service based at the Royal South Hants Hospital. The team currently provide specialist advice and guidance through the following processes and our administrative team are essential for these services to operate smoothly.

  • Multi-Disciplinary Team clinics
  • Structured education

  • 1 to 1 appointments
  • Home visits
  • Telephone support and advice
  • Bespoke education packages
  • Support to Primary Care and health care professionals, and much more

Our team comprises of one Consultant (Clinical Lead), five Diabetes Specialist Nurses, one Lead Diabetes Specialist Nurse (Service Manager), Specialist Dietitians and three administrators. We are also lucky to have the Steps to Wellbeing team working alongside us, providing mental health support.

Job Responsibilities

The post holder will work as part of the administrative team to provide administrative, secretarial and clerical support to Solent Diabetes Service.

The post-holder will work without direct supervision using their own initiative to work on specified tasks and obtain support, and advice from the other team administrators and clinical staff as required.

The post-holder will be required to cover leave and absence of other admin team members and this may include tasks and duties related to other roles and may also include the necessity to travel to other team bases within the Locality, at short notice, and within the City with prior notice and agreement.

Job Description

-Call handling for general telephone enquiries and referrals to the service.

-Typing of Rotuine letters, minutes from team meetings. Undertake audio typing

-Carry out day to day printing, photocopying, scanning and faxing as required by the team.

-Assist the Team in diary management, booking appointments, resolving conflicting appointments, organising meetings and booking venues.

-Organise outpatient clinic appointments as required by the Team and medical staff & send letters of appointment (usually daily).

- Attend team meetings to take and prepare and distribute minutes as required.

-Sensitively manage distressed client/carers on the telephone and/or type letters that may contain sensitive information as drafted by Team members. May have occasion to exchange confidential and sensitive information to Team members.



Personal Skills/Qualities

We are looking for an administrator with previous experience in a similar role. You should have excellent communications skills, the ability to pay attention to detail and be able to effectively communicate in writing ( electronically) and verbally with the team and a wide range of services and service users -This will include the GP’s across Southampton City.
