Job summary

The Patient Safety Administrator role is a crucial part of the leadership team at Potters Bar Clinic, responsible for managing patient safety incidents, ensuring compliance with regulations, and supporting the CQC quality check. Main duties of the job

As a Patient Safety Administrator, you will be responsible for triangulating and consolidating patient safety incident findings into reports and key learnings. You will work closely with the Compliance Lead to ensure all incidents are properly recorded, investigated, and that learning is fed back to the leadership team. Additionally, you will support the Safeguarding Lead in preparing the service for CQC inspections. Job responsibilities

Are you an experienced office administrator looking for the next step in your career? If so, join the Senior Leadership Team at Potters Bar Clinic as a Patient Safety Administrator and be the key link between the Clinical Service Manager, Compliance Lead, Safeguarding Lead, Workforce Lead and Practice Development Nurse.

Your role as a Patient Safety Administrator is to triangulate and consolidate the findings from patient safety incidents into reports and key learnings.

You will be joining a service comprising of two acute mental health wards for young people and adults, and Children and Young People's Mental Health Services (CYPMHS) Tier 4 low secure wards for young people aged 13-18. 

What you will be doing

You will become a crucial addition to the Potters Bar Clinic Leadership Team responsible for working closely with the Compliance Lead on Patient Safety Incident Response Framework (PSIRF) ensuring that all patient safety incidents are recorded on the PSIRF register, making sure it is maintained and accurate, determine if incidents require further investigation and ensuring that learning from Patient Safety incidents is fed back into the Leadership Team.

You will also work alongside the Safeguarding Lead preparing the service for the CQC (Care Quality Commission) quality check.

As a Patient Safety Administrator, you will be:

  • Supporting the Hospital Director/Clinical Service Manager in the matters relating to Patient Safety and Incidents.
  • Maintaining relevant registers and databases.
  • Collating information from the clinical team in relation to Patient Safety Incidents reported in the IRIS incident reporting system.
  • Completing a CQC notification form to the highest standards and submit for internal quality checking.
  • Post quality check, sending the CQC Notification and manage the CQC notifications register for site.
  • Auditing the CQC notification register to ensure this is maintaining, accurate and the information is contemporaneous.
  • Co-ordinating, organising and taking minutes at PSIRF, KLLA and Patient Safety Meetings.
  • Undertaking other admin duties and roles as directed
  • Providing cover for Admin colleagues
  • Maintaining the highest level of confidentiality.
  • Communicating internally and with external professionals with the utmost professionalism

To be successful in this role, you will have:

  • Previous experience in an Administration role
  • Strong ability to analyse information, identify patterns and high attention to detail
  • A high standard of general education ( English and Maths at GCSE or equivalent)
  • Willingness to learn new skills and adapt to new policies and procedures

The CYPMHS Tier 4 Low Secure services are for young people aged 13–18.    Potters Bar Clinic is located in a residential area, only one minute drive from the M25 and a short bus ride from Potters Bar Train Station, with a bus stop right outside, making it an easy commute for most.
