Job summary

An exciting opportunity has arisen for a permanent role as an administrator within the urgent and emergency care team. The role is varied and involves working across the BSW system daily.

Applicants should be highly motivated and enthusiastic and will provide and coordinate administrative and secretarial services; including for example, the preparation of agendas and minutes, taking appropriate follow-up action as required. Supporting the team with the management of projects, gathering information and undertaking enquires as and when is necessary for the head of department and the team.

The role requires presence in the Jenner House Operations Hub across the week and will require administrative skills with a sound knowledge of IT systems and software programmes such as Outlook, Word, Excel and PowerPoint.

This role will be office/site based 3 days per week.

There will be a requirement to support the System Coordination Centre function within the UEC department that will require office cover for 8am till 6pm on an ad hoc basis to cover annual leave and sickness.

Main duties of the job

Provide daily senior administration duties including monitoring of nominated Head of Service/ Director in-box, management of multiple diaries, answering the telephone, resolving queries, arranging meetings, minute taking for specified management/project meetings (and ad hoc meetings when required).

Acting on any urgent emails and responding to routine enquiries appropriately.

Preparation of letters, reports and documents, Powerpoint presentations, charts and diagrams.

Organise, prepare and co-ordinate senior meetings both on and off site as necessary including conferences and associated hotel accommodation and train tickets.

Administrator will be required to support the delivery of effective meetings including preparing meeting schedules, draft agendas, receiving and distributing papers, printing papers or loading them onto appropriate platforms, taking complex minutes, preparing and updating action trackers.

Administrator may be exposed to highly confidential and/or sensitive information and should have a sound understanding of the implications of the Data Protection Act, the security of hard/software and the Freedom of Information Act and confidentiality.

Undertake small projects as appropriate.

Ensure all mandatory training is completed.
