Job summary

The Project Support Office works with the Head Digital Transformation and Delivery and the IT Director to ensure the operational management of the two programmes, supporting across both teams.

The key responsibilities of the post are to provide a high quality administrative support to the Head Digital Transformation and Delivery and Informatics, with programme delivery, project support, taking actions, stakeholder management, reporting risks and ensure that actions are completed by project managers

This role will be working across the Digital Transformation and Delivery team and the Informatics team in North West London ICB. The Digital Transformation and Delivery team is working to deliver cutting edge innovation into all GP practices across North West London. We work collaboratively with all stakeholders.

Main duties of the job

The key responsibilities of the post are to provide a high quality administrative support to the Head of Digital Transformation and Delivery and the Deputy Director of IT, and associated reviews / panels and meetings.

In working closely with other programme and team colleagues, you will be expected to:

  • provide administrative support to the programme of work being undertaken;
  • ensure effective, high-quality project support and reporting;
  • actively engage and work collaboratively with colleagues and partners.
All team members will be expected to work flexibly across the teams as and when required, and as the Directorate requires and actively encourages cross-working.

Maintain good communication links with teams to ensure meetings are well prepared and executed on a timely basis

Able to produce accurate, clear high-quality minutes from meetings where clinical and technical language is often used and is important to record accurately.

Able to communicate and follow up on decisions in a timely, accurate and effective way, helping to problem solve issues in a customer friendly manner.

Ensure that all steps are taken to prevent the possible deterioration of patients who are then at risk of hospitalisation and placement breakdown, through the use of the Dynamic Support Registers, project plans, development logs and meetings to facilitate the delivery of all projects.

  • Manage and support with all programme documents that are on Sharepoint, across both IT and Digital Transformation and Delivery
  • Send out communications to stakeholders across the ICB

Information Management

  • Supporting the management of the complex care data, include records of all decision and client data and the appropriate recording on databases;
  • Contribute to the review and development of existing systems to support improvement in information management functions in the team.
  • Financial and Physical Resources: The main point of contact for the management of finances for the both IT and Digital Transformation and delivery.
  • Staff management: Supporting the IT and Digital Transformation Teams, providing guidance, support, and professional development opportunities.
  • Collaboration and coordination: Working closely with other departments, teams, and external organizations to ensure seamless coordination of complex care services.
  • Continuous improvement: Identifying areas for improvement within the IT and Digital Transformation and Delivery Programmes and implementing strategies to enhance service delivery and patient outcomes.
  • Compliance and governance: Ensuring compliance with legal and regulatory requirements, including data protection, confidentiality, and safeguarding
