Job summary

Applications are invited for Cancer Data Coordinator

The post holder will be central to the on-going development of data management for cancer patients within the Trust. The data collected will form the Trust's mandatory submissions to all national and statutory requirements, for example - Cancer Outcomes and Services Dataset (COSD), and Cancer Wait Times databaseWe require a highly motivated, team player with excellent communication skills in order to negotiate with, and motivate all members of the team to ensure audit and data needs are met. The post holder will be required to work on his/her own initiative and plan own workload accordingly. The post holder will attend MDT meetings for the purpose of efficient and accurate collection of clinical data relating to cancer patients within the Trust.

The team will be working a hybrid model with some time working from home and some time spent at Knowsley Community College and will be an integral part of the Cancer Information team. However, they will also work in close collaboration with all clinical and support service teams which could require time spent on either Whiston, St Helens, Southport or Ormskirk Hospital sites

Main duties of the job

The post holder will work closely with the Cancer Data and Performance Manager and clinical teams to devise accurate data collection tools. The candidate will be expected to work closely with team members to provide high quality, professional administrative support, ensuring effective communication and meeting strict deadlines.

The post holder will have proven team working skills and experience in supporting the production of reports, documents and presentations. He/she will be proficient in the use of Trust systemsA willingness to learn new skills and the ability to work as a member of the multidisciplinary team whilst communicating effectively with staff at all levels will make the job an exciting and rewarding challenge.

Job responsibilities

KEY DUTIES

  • Ensure regular attendance at meetings.
  • Ensure systems are fully prepared, ensuring patients notes, radiology reports and histology results are made available, and any actions recommended are followed up.
  • To identify patients newly diagnosed with cancer, through various sources, e.g., Outpatient clinics, wards. Medical secretaries and in-house information systems.
  • Ensure the outcomes of the MDT meetings are recorded accurately and placed in patient notes.
  • Collection and interpretation of patient information from notes and MDTs in order to complete data.
  • Work with the Cancer Data and Performance Manager, to develop all aspects of data collection regarding cancer patients within the Trust according to National Guidance Rules, e.g., COSD user guide.
  • Maintain the local tracking system to monitor the achievement of first diagnostic test local standard of 14 days from receipt of referral.
  • To monitor and report activity within the Trust and Cancer Network.
  • To use various software programmes to produce reports, statistical data, create and maintain spreadsheets to a high standard.
  • Work with the quality/governance department to ensure compliance to Trust standards for Cancer services.
  • Undertake audit work as required, local and National.
  • Analyse and compare the outcome of audits and determine the appropriate action/s to be taken.
  • To ensure accurate entry of data to the Somerset Cancer Register allowing data transfer on agreed deadlines and in accordance with National data submissions. For example, COSD.
  • Take action to obtain or correct missing or contradictory data while maintaining confidentiality.
  • To provide regular updates and progress reports.
  • Liaison with Doctors and Cancer Nurse Specialists to understand any discrepancies and establish correct data collection.
  • Tracking of patients with targets set to predict when next data collection is required, and to check if all investigations are underway.
  • To assist in the maintenance of outcome monitoring databases and operational processes.
  • Responsible for the line management and appraisals of Band 3 MDT Coordinators.
  • Undertake any other duties deemed relevant to the post and grade.

CLINICAL AND PROFESSIONAL RESPONSIBILITIES

  • Responsible for ensuring that all cancer data/information is stored and transmitted in a format, which adheres to all aspects of the Caldicott guidelines.
  • Due to the sensitive nature of cancer information, ensure that the system, recording processes and MDT processes fulfil both Information Governance and Data Protection requirements/rules.

ADMINISTRATIVE RESPONSIBILITIES

  • Support the Cancer Data and Performance Manager in the design and implementation of standard. operating procedures to ensure waiting time targets are achieved.
  • Regularly review procedures to ensure working processes are fit for purpose.

TEACHING AND LEARNING RESPONSIBILITIES

  • Provide specialist training to the teams within Cancers Services on aspects around cancer performance and the awareness of the cancer targets.
  • Responsible for ensuring that new developments are proactively trained to all staff by linking the theoretical knowledge obtained and applying it to relevant practical experience in order to ensure that standards are achieved.

LINE MANAGEMENT RESPONSIBILITIES

  • Responsibilities for training and development, induction, appraisal and personal development planning, allocation, and monitoring of work within the required deadlines.
  • Ensure that mandatory training is undertaken in accordance with Trust policy by the post holder and by all staff reporting to the post holder.
