Job summary
We have an exciting opportunity to join our Radiotherapy Team as our Personal Assistant, you will provide comprehensive personal assistance, secretarial, operational and organisational support to the Radiotherapy Team.
Develop excellent relationships both internally and externally and will frequently be the first point of contact for key stakeholders and patients.
You will have exemplary communication skills to ensure that a positive impression of the Trust is maintained at all times.
You will work at all times with a high degree of discretion and initiative, respecting confidentiality of information. It will be important for you to develop and maintain an understanding of key Trust issues in order to manage and prioritise workload effectively and make decisions as appropriate. This will support the production of briefings, reports and presentations
Working as our PA you will provide full administration support to the Head of Radiotherapy Physics, Radiotherapy Services Manager and Service Unit Leads, maintaining diaries and working proactively with the Radiotherapy team to ensure deadlines and actions from meetings are appropriately prioritised and achieved.

Main duties of the job
Some of your main duties will include the following however please refer to the Job description for further information.
Re-direct calls and queries that require an immediate/urgent response appropriately to other senior staff to ensure that these are addressed in a timely manner.
Deal with sometimes distressed complainants who wish to speak to a manager, supporting them and directing them to the appropriate staff member. The post holder must be able to resolve situations and arrange for the complaint to be dealt with in accordance with the NHS Complaints Procedure.
Liaise with oncologists, physicists, technicians, dosimetrists, radiographers and other relevant staff to ensure the smooth running of the Radiotherapy department.
Organise and review emails replying on behalf of the Senior Radiotherapy Team when required. Send emails on behalf of the managers when required.
Participate in the induction of new staff to the department.
Send out meeting invites on behalf of the Senior Radiotherapy Team including for probationary meetings for new staff.
Produce data and statistics from Mosaiq, the Oncology Information System, as requested by service leads, to support waiting time initiatives.
