Job summary

We are currently seeking an experienced administrative assistant to join our Trauma and Orthopedic department at Broomfield Hospital.

You will provide professional, comprehensive and efficient administrative support to the Outpatients Service for both patients, nursing and medical staff and provide general enquiry and bookings reception cover.

You will be required to prioritise your given workload and complete tasks within prescribed timescales.

The post is 5 days per week (Monday - Friday). The candidate will need to be flexible to cover annual leave, sickness, occasional late clinics or weekend clinics.

Main duties of the job

You will be an administrative assistant who can work well within the team and also on their own initiative. The candidate will require excellent communication and customer service skills and be reliable to work well under pressure. The post holder will be required to maintain strict confidentiality and be expected to deal with the sensitively of public files.

You will provide administration support, respond promptly and courteously to all telephone calls, maintain a filing system and pass information to the relevant clinic coordinators.

You will also generate and dispatch confirmation letters to patient following a confirmed booking and ensure accurate information is entered onto the system.

Essential

  • IT Keyboard Skills
  • GCSE or equivalent in English and Maths

Desirable

  • ECDL (European Computer Driving License) or willingness to undertake

Knowledge & Experience

Essential

  • Able to provide a patient focussed service and to work effectively as part of a team dealing with people and situations sensitively and appropriately, remaining calm and polite at all times oTo demonstrate effective keyboard skills with the ability to input data quickly and accurately
  • Ability to work in a busy office in a team orientated environment
