Job summary

An exciting opportunity has arisen for an enthusiastic, self-motivated and organised person to join our Receptionist Team providing efficient administrative support on the Gynaecology Outpatients within the Women & Children's Division. This job requires a highly motivated person who can work under pressure whilst dealing with sensitive issues. An excellent team player is essential.

You will need excellent communication skills, be adaptable and have the ability to remain calm under pressure. You will need to be able to work on your own initiative in a logical and methodical way but be able to multi-task whilst dealing with frequent interruptions. Flexibility and reliability is of extreme importance as is the ability to work well within a team. The successful post holder will be expected to cover colleagues within other areas of Gynaecology reception in times of sickness and annual leave.

Main duties of the job

  • To act as receptionist for Gynaecology Outpatients and Cotswold Ward (when cover is required)
  • To participate in the preparation and the running of the reception areas across Gynaecology and to cross cover when required
  • To maintain patient records ensuring filing is completed in a timely manner and notes are available for clinical staff, trace patients notes
  • Arrange appointments, request transport and contribute to the appointment outcomes and discharge planning process and ensuring Careflow is up to date
  • To answer telephone enquiries from patients, medical staff and other hospitals, dealing with enquiries in a professional manner and referring to the relevant person where necessary
  • To prepare clinic notes ensuring all relevant documentation is included
  • Ensure all notes are sent to coding department in a timely manor
  • Ensure all emergency patients are recorded on Careflow
  • Ensure all telephone Performa's are booked and scanned onto the system
  • To send appointment letters to patients ensuring information is accurate
  • To deal with patient cancellations in accordance with the Patient Access Policy.
  • Taking responsibility for the tracing in and out of medical records
  • To ensure all outcome forms, admissions and discharges are completed on the PAS system
  • To be responsible for restocking stationary, ensuring order forms
  • To provide annual leave and sickness cover as require
