Job summary

We would like to recruit a fixed term band 3 administrator to support the Adult ADHD diagnostic service based in Bromley

The role will include receiving referrals by email and processing on RIO, booking appointments for the team and typing reports and letters. The post holder will also need to be able to communicate with service users by telephone or email providing clear information and reporting concerns to the line manager

The post holder will need to be flexible in a service which receives a high number of referrals.

Main duties of the job

Working as part of the administration team to support the MDT within the Adult ADHD service

  • Attending team meetings and taking minutes
  • Working on Trust patient data base - RiO
  • Updating excel spreadsheets,
  • Booking appointments
  • Speaking with clients and agencies on the telephone or by email.
  • Typing clinical letters and reports,
  • Using either audio, G2 voice recognition or copy typing to GPs and clients if required.

Job description

Job responsibilities

  • Using RIO (electronic system) to record and retrieve information on both service users and caseload holders.
  • Supporting the use of technologies to communication with clients such as setting up attend anywhere clinic appointments, MS teams meetings for example.
  • Respond to incoming calls and deal with enquiries in accordance with management procedures. Record all messages accurately ensuring appropriate action is taken and messages passed to the relevant discipline/clinician. Use initiative in finding appropriate clinician for advice if required staff member is absent.
  • Implementing and maintaining effective communication systems with team, locality, acute in-patient staff, GPs and service users and their support networks.
  • Distribute/disseminate post as necessary.
  • Processing of Data Protection enquiries, liaising with both service users and clinicians to ensure that all necessary information is provided in an efficient and timely manner.
  • Undertake administrative duties photocopying, sending emails, etc.
  • Provide assistance to clinicians in troubleshooting computer issues.
  • Booking of interpreter services to attend meetings.
  • Minute taking for example MDT meetings.
  • Scanning incoming correspondence and reports and any other investigations ensuring all correctly uploaded into electronic system using the correct naming convention.
  • Providing cover for other admin staff during periods of leave and sickness.
  • Undertaking word processing/audio, G2 support for the provision of required reports, letters, summaries, etc. within the set standards.
