Job summary

We have an exciting opportunity for an enthusiastic, highly motivated individual to join our admin and clerical team as a Records Assistant!

In this vital role, you will support the provision of a comprehensive, high-quality secretarial and administrative service essential for the smooth operation of our busy, friendly department. As a Records Assistant, you will be involved in managing and maintaining patient records, ensuring that our systems are up to date and accessible for all healthcare professionals.

This post will be both challenging and rewarding, and is fundamental to the delivery of an efficient service that supports both the hospital and primary care. You will have the chance to contribute directly to the effective running of the department and the overall healthcare service provided to our patients.

Main duties of the job

  • The role is responsible for the filing of correspondence in patient case notes, tracking case notes in and out utilising the PAS system and the transportation of case note to agreed areas around the Trust.
  • The prompt filing of correspondence and investigation results in the patient case notes to support continuing patient care and thus avoiding clinical risk.
  • The prompt tracking in and out of case notes using the PAS system to maintain accuracy and completeness of all electronic records in accordance with Data Accreditation requirements.
  • To Transport case notes (and other documentation as instructed) appropriately and in accordance with the agreed Standard Operating Procedure.
  • To store/ file case notes appropriately in secure locations in accordance with the agreed Standard Operating Procedure
  • Ensuring adherence to the Trust's confidentiality policy.
  • To undertake other appropriate general administrative tasks delegated by the Patient Pathway Co-ordinator ( including as examples photocopying, enveloping)
