West Suffolk NHS Foundation Trust

Administration Assistant

The closing date is 26 November 2025

Job summary

Our charitable contributions help to enhance the quality of services, over and above that which the NHS provides; and make a difference and touch the lives of our community for the public benefit.

The Charity aims to help fund the important extras: making patient care better, by raising funds for the latest technology and equipment; enhance patient comfort by improving the hospital environment; making the staff's working environment and facilities better; and helping to provide better training opportunities.

The postholder is responsible for providing administration support to the My WiSH Charity.

We are looking for an organised Administrative Assistant who is passionate about health charities and the role the charity plays in supporting the needs of local patients.

As a key member of the Charity Team, the Administrative Assistant must be methodical, organised, motivated and self-led. The post-holder will sit within a small Charity fundraising team and provide an important function in supporting and enabling the team to fundraise.

The post holder will work closely with colleagues to deliver an effective donor experience to fundraisers and volunteers within the community who are raising funds for specific appeals, campaigns, wards, departments and general purposes.

The ideal candidate will have a confident, empathetic and friendly personality, will be keen for direct contact with people and good at motivating and inspiring others.

Main duties of the job

In this role, you will be the key first point of contact for donor and supporter general enquiries to our charity and will take the lead responsibility for processing donations and responding to initial enquiries by phone and email.

You will also meet and greet donors on site as required and keep the fundraising database up to date, record donations, thank supporters and import data.

You'll also support events, distribute promotional materials and work with volunteers.

The role will require knowledge of databases in a charity setting, good interpersonal skills and experience of working with the public.

To be successful, you will have the ability to communicate clearly, effectively and in a friendly and professional manner, have a positive personality, a keen eye for detail, a can-do attitude and a good telephone manner.

You will also be a great team player and always be willing to support the team when needed.
