Job summary
30 hours per week required over 4 working days (Mon-Fri) including one early morning start and one late night finish.
Responsible for managing the front desk on reception. Greeting patients, handle appointments, manage patient records, and support healthcare professionals by ensuring the administrative side of the service runs efficiently and professionally.
Main duties of the job
Greet and welcome patients in a friendly and professional manner.
Check patients in and out for appointments.
Handle enquiries in person, over the phone, or via email.
Ensure patient confidentiality and comply with data protection laws.
Assist patients with forms, registration, and online services.
Schedule, reschedule, and cancel appointments using clinical software EMIS.
Manage waiting lists and reminders for follow-up appointments.
Coordinate with clinicians to ensure appointment slots are used efficiently.
Maintain and update patient records accurately.
File, scan, and distribute correspondence, test results, and referrals.
Process repeat prescription requests in line with practice protocols.
Handle incoming and outgoing mail and emails.
Support the team with data entry, audits, and reporting tasks.
Liaise between patients, clinicians, and external healthcare providers (e.g., hospitals, pharmacies).
Relay messages promptly and accurately.
Handle urgent requests or queries calmly and efficiently.

as required and supporting the administration team with patient registration.
The post-holder will act as the central point of contact for
patients, be responsible for the distribution of information, messages and
enquiries for the clinical team, liaise with multi-disciplinary team members
and external agencies such as secondary care and community service
providers.
