About the Role

We are looking for a detail-oriented and proactive HR / Clinical Rota Administrator to join our administrative and management team. This is a key support role that combines elements of human resources administration with clinical rota coordination.

The post holder will be responsible for maintaining accurate staff records, supporting recruitment processes, coordinating clinical rotas for 40+ clinical staff, and ensuring the efficient operation of our scheduling and HR systems.

A positive, flexible, and can-do attitude is essential, along with excellent organisational and communication skills. HR or rota management experience is advantageous but not essential, as training will be provided.

Main duties of the job

Main Responsibilities

HR Administration

  • Maintain accurate and up-to-date employee records, including training, immunisations, DBS checks, and other compliance documentation.
  • Support the recruitment process, including advertising roles, shortlisting, and onboarding.
  • Assist with absence tracking, leave management, and updating HR systems.
  • Work within the management team to ensure HR administrative processes run smoothly and efficiently.

Clinical Rota Coordination

  • Administer and respond to requests for annual and other types of leave from clinical staff in line with practice policy.
  • Maintain accurate records of annual leave, maternity leave, and other absences.
  • Prepare, manage, and update clinical rotas for all sites using EMIS Web, ensuring appropriate cover is maintained.
  • Contact locums and coordinate sessional cover where required.
  • Work closely with the Systems Manager and clinical leads to identify and resolve rota or staffing issues promptly.
  • Ensure timely loading and adjustment of appointment schedules and maintain accurate data entry.
  • Highlight capacity issues to the Care Coordinator and escalate concerns appropriately.

  • Flexibility may be required during busy periods or for cover.
  • Pay will be commensurate with experience.
