Job summary

We are looking to appointment a highly motivated and organised person to provide comprehensive administrative support to the practice. Ensuring the smooth running of operations, compliance with regulatory requirements, and effective communication across the team and with external stakeholders.

Working pattern; 22.5 hours per week (7.5 hrs three days per week).

Main duties of the job

The post holder will be responsible for leading and undertaking a wide range of compliance and operational tasks to ensure the practice achieves its key operational and regulatory requirements.

The role requires someone with exceptional organisational skills.

Principal Accountabilities:

Significant Event Lead: Log significant events, action as appropriate, and lead the annual analysis session.

Premises Management: Attend BUG and water safety meetings, log and report premises issues, and liaise with CHP, ICB, OCS, and Mitie as required.

Practice Boundary Management: Maintain up-to-date NHS catchment hub information.

Patient Safety Events (LFPSE): Log patient safety events on the website and ensure learning is shared.

Service Issues: Record patient safety or service issues on eHealthscope.

Flu Clinic Coordination: Organise annual flu clinics, clinic preparation, stock, and staff vaccinations.

MMF Overview: Monitor MMF completion and prioritisation, supporting MMF staff as required and ensure the practice maximises income.

Patient Survey Management: Distribute patient surveys, collate results, and report findings to management.

Safety Alerts: Process safety alerts according to practice protocols.

Adult Safeguarding Administration: Lead quarterly safeguarding meetings, prepare agendas, and take minutes.

Privacy Office (S1): Action privacy notifications appropriately and in line with practice policy.

Policy & Protocol Administration: Maintain and review policies, draft new policies, obtain management approval, and upload to GPTeamNet.

DBS Checks: Manage DBS checks in accordance with organisational policy.

EA Rota Management: Update S1 PCN hub, manage rota and staff allocation.

New Staff Induction: Prepare induction paperwork for new staff members.

Data Support: Assist the Practice Manager with data requests from external orgnisations.

HR Meeting Support: Take minutes for HR meetings.

Practice Meetings: Arrange practice meetings as required

CQC Compliance: Participate in internal CQC compliance reviews with the Practice Manager.
