Job summary

Bankhouse Surgery is looking to recruit a full time medical secretary to provide a comprehensive secretarial service to the Doctors and other health professionals.

You will be responsible for processing referrals, typing correspondence and reports ensuring all documentation meets NHS standards and confidentiality requirements.

The ideal candidate will have previous healthcare setting experience. Strong organisational skills, attention to detail and the ability to handle sensitive information with discretion. Previous medical terminology and competency with Systm1 would be advantageous.

Flexibility and adaptability are important as you will be joining an established team environment.

Main duties of the job

1. to provide an efficient typing service for the practice, to include typing of letters and patient referrals in an accurate and quality manner.

2. process referrals using the eReferral system

3. to maintain patients medical records in an accurate and secure manner.

4. to receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.

Bankhouse Surgery is a supportive training practice with aims to provide high quality care to over 10,000 patients. We are based in a purpose built health care facility.

The practice has 6 GP partners, 1 pharmacist, 3 practice nurses and 1 HCA. All supported by an excellent admin team.

Job description

Job responsibilities

a. Type letters, reports and associated documentation as required and within the specified timescales as appropriate for the referral

b. Liaise with external agencies such as hospitals and community services, ensuring referrals are processed efficiently. Be familiar with local services and referral criteria

c. Manage all enquiries in an effective manner

d. Maintain an accurate referrals database

e. Action all incoming email within a timely manner

f. Accurately input and code SNOMED CT data on the clinical IT system

g. Process referrals using the electronic referral system (ERS), including urgent two week waits (2WW) suspected cancer referrals.

h. Manager rejected referrals, ensuring appropriate signposting or resubmission as required.

i. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

j. Manage all administrative queries as necessary

k. Conduct clinical system searches as requested

l. Support all clinical staff with general administrative tasks as requested

n. Be an integral part of the general practice team

o. Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on Safeguarding Adults and Safeguarding Children

p. Undertake all mandatory training and induction programmes

r. Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed.

  • Typing qualification, i.e., OCR or RSA Diploma

Desirable

  • NVQ Level 2 in Health and Social Care
  • Level 3 in Medical Terminology
