GP reception role. Answering the telephone, booking patients in to be seen/dealt with, answering queries at the desk, prescription generation. 

Main duties of the job

Standard GP receptionist duties.The receptionist will perform a patient facing front office function, involving booking in patients on arrival, answering queries, reception navigation and telephone answering involving many aspects of the work covered by general practice.

Receptionist

Job Description

Title: Receptionist

Accountable To: Practice Manager

Responsible for: Providing a good standard of service to the patients in line with directives laid down by the partners and practice manager.

Overall job purpose: To ensure the provision of an efficient and compassionate service to the patients. To work as an effective and efficient team member to provide this service.

Main responsibilities:

• To open doors at the beginning of each Surgery and lock up at the end of each session

• To activate Jayex Board and switch off at end of session

· To activate and set up the Patient Check in screen at commencement of the day and turn it off at the end of the day

• To ensure that the correct Doctors’ names are on the consulting room doors (and on the board in the waiting room where applicable)

• To check in patients (and give them the correct number where applicable)

• To make appointments over the telephone and personally

• To maintain the Appointment Book (computerised appointment log)

• To deal with some general telephone enquiries

• To deal with New Patient Registration forms and Temporary Residents forms

• To hand out prescriptions after checking name and address of patient

• To take in and record fees for various private treatments

• To use the computer to check records, and enter information on the computer as appropriate

• To cover other Receptionists’ holidays as per rota, potentially including some duties at the other sites

· Admin duties such as EDN, WSD, mail manager chase ups, Open Exeter etc as required by the role being undertaken

· To check electronic results on Mail Administrator and deal with any that are unmatched and unfiled. Deal with results that are one month old.

• To make tea and coffee for Doctors and staff when time permits

• To leave the reception area tidy and ready for incoming colleagues

• To learn and implement new procedures as appropriate

• To work together with the other staff to ensure the smooth running of the practice.

• The duties listed above may change in the light of developments within the practice and are subject to review. Implementation of any changes will be by mutual consent.

• Attend practice staff meetings as requested and whenever possible

Other general duties may include:

• To open, date stamp and sort the post

• To get out patients notes as required.

• To file notes, results and letters and clear scanning folder

Scanning is an integral part of the reception role:

Responsible for: The accurate insertion of correspondence into patients notes.

Main responsibilities:

  • Scanning documents accurately and inserting them into the correct patient’s records, read coding them as appropriate
  • Liaising with the secretarial staff to ensure input of x ray and ultrasound results
  • General duties as required
