JOB TITLE: Dispensing Manager

JOB DESCRIPTION
To oversee the provision of an accurate, timely and qualitative dispensing service to the registered patients.
SPECIAL REQUIREMENTS OF THE POST
Dispensing qualification.
Ability to self-motivate, organise and prioritise own workload.
An ability to use own judgement, resourcefulness and common sense.
An understanding, acceptance and adherence to the need for strict confidentiality.
Excellent communication skills.
MAJOR DUTIES AND RESPONSIBILITIES OF THE POST
Dealing with patient requests for prescriptions.
Issue prescriptions and checking them.
Dispensing medicines, tablets and other drugs and appliances as requested by the doctors and non-medical prescribers.
Maintaining appropriate care of drugs and equipment.
Maintaining systems within dispensary.
Maintaining dispensary, storage areas, stock levels and hygiene.
Keeping a dangerous drugs record book (as required under the Misuse of Drugs act 1971).
Maintaining supplies of prescription forms, (private patients, FP10s etc).
Ordering dispensing supplies, including cartons, labels, bottles etc.
Teaching patient self-care where appropriate.
Instructing patients on drug compliance.
With the doctors and the practice manager, consulting with drug company representatives and wholesalers - checking on delivery requirements, bonus stock etc.
Maintaining proper records of dispensing stock held, used and ordered, including once a year stock check.
Establishing and maintaining computer systems in dispensary.
Help teach other practice staff and attached students and staff when requested.
Conducting other reasonable requests for dispensing duties made by the doctors, practice manager and practice team.
Maintaining of medical supplies, dispensing supplies, dressings, containers for pathological specimens, instruments and packaging for drugs and appliances in the practice.
Ordering of these supplies from drug companies, pharmacies, pathology labs, FPC, local authority or wherever necessary.
The maintaining of the correct procedure for dispensing drugs FP34D and the prescriptions (FP10/private prescriptions) concerned both to the Prescription Pricing Authority and the Family Practitioner Committee.
Entering details of treatments, drugs dispensed, etc conducted in patient records and the maintaining of such lists and/or other records and appointment books that may be required, e.g. yellow-card system.
Liaising with other staff such as district nurses, health visitors etc. regarding monitoring of drugs, maintaining records and the making of appointments.
Conducting dispensing review of use of medication (DRUMS).
Special statistical or data reports as required
i. As requested by doctors or practice manager, prepare statistical or data reports.
Any other delegated duties considered appropriate to the post.

- In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.

They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
Health & safety:
The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:
- Using personal security systems within the workplace according to practice guidelines.
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.
- Making effective use of training to update knowledge and skills.
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
- Actively reporting of health and safety/infection hazards immediately when recognised.
- Keeping own work areas and communal/ patient areas clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role.
- Undertaking periodic infection control training (minimum annually).
- Reporting potential risks identified.
